Serve as initial point of contact in greeting internal customers. Provide administrative assistance to respective team(s). The position will prepare a wide variety of complex, sensitive, confidential data and presentations and must maintain confidentiality at all times. Requests for action or information must be handled and/or relayed in an efficient and timely manner to appropriate staff members.
Key Job Accountabilities
Serve as a backup to Customer Experience Assistant, which includes: ordering, set up and clean up for lunches
Provide administrative assistance to support site initiatives, policies, presentations and projects
Plan, organize, schedule and prepare presentation materials
Conduct data analysis, prepare reports, metrics, visual graphs, tools and serve as subject matter expert on department data
Plan, organize and prepare site events, meetings, training, interviews, travel, conference rooms and customer visits
Maintain department metrics, supplies and bulletin boards
Coordinate repairs of department equipment and order special supplies as needed
Prepare timely reports, travel, presentations and materials
Handling of confidential material and data and maintaining confidentiality.
Manage conference rooms to reduce scheduling conflicts
Create badges for new hires
Create and coordinate employee events (monthly)
Coordinate Lunch Vendors
Additional duties as assigned by management
Skills & Abilities
Decision making and problem solving skills
Computer skills in Microsoft Word, Excel, PowerPoint required
Basic Visio skills preferred
Demonstrate Flawless Execution through attention to detail, editing, proof reading, oral and written communication skills
Demonstrate understanding of Lean principles through standardizing administrative processes, documenting standard work and continuous improvement thinking
Education & Experience
A minimum of a post-high school education (college, vocational school or specialized training) or equivalent experience is required for this position; a Bachelor’s degree is preferred.
Experience of less than 1 year is required for this position, assuming education requirements are met. Equivalent industry experience of 1 or more years is highly desirable.
