DLS Support Specialist
Duties: Under the direction of the DLS Manager, will be responsible for directly supporting electronic and physical document and records management needs for assigned practice groups and daily coordination with practice group secretaries, lawyers, paralegals, and members of DLS as primary role. Under the direction of the Workplace Support Manager, will provide onsite technical support to local office staff and lawyers to resolve PC software, PC hardware, personal data assistance, telephony, multimedia, printing, and connectivity problems; and provides other general office administrative duties as assigned and required. Works with DLS Manager, Workplace Support Manager, and office administration to meet these operational assignments requirements and service needs for the office. Will determine the primary and secondary manager for the Specialist. Obtains subject matter expertise of the DLS Manager for contextual guidance and direction on general and day-to-day Department and Firm-wide responsibilities and assigned projects.Catalogs and bar codes physical media including redwelds, closing binders, exhibits, and electronic media using the Firm’s records management system.Researches, retrieves and scans physical documents in accordance with procedures.Identifies, classifies, and maintain documents or other physical and electronic content according to characteristics such as security level, function and metadata. Ensures accuracy and completeness of records.Maintains case rooms and practice group file rooms and Records Centers.Provides guidance and training for practice group personnel on filing procedures and use of Firm’s enterprise records and document management systems.Maintains and digitizes court, agency, contract, and other critical and vital practice documents as required.Ensures personnel departing the Firm follow standard off boarding policies including determining retention, transfer, and disposition of client and administrative documents and records.Provides periodic reports and statistics as needed.Ensures timely database updates and corrections such as global moves, and retention notations.Responsible for file circulation including follow up on past due reports to firm personnel.Conducts periodic reviews of document management system compliance including working with assigned matter attorney to ensure matter close-out procedures are completed by legal teams.Completes special projects as assigned including destruction, file clearance and clean up, transfers, file audits and inventories, office move support, and file space allocations.Follows up on and escalates outstanding customer requests to ensure timely response and completion in accordance with established policies, procedures, and service level agreements.Consistently supports the collective team and Department work product by communicating and collaborating in a manner that enhances individual and team productivity.Assists with proactively supporting firm-wide client service initiatives. Works with other DLS staff members to ensure department is providing quality service to internal members/departments of the Firm as well as external clients and vendors by displaying professionalism in communications both in writing, by telephone, and in-person; and by encouraging an atmosphere that rewards a "can do" attitude.Ensures firm personnel, including supporting staff comply with document retention policies.Interacts with document management service vendors as directed by the DLS Manager.Seeks the DLS Manager’s guidance in connection with all internal and administrative objectives and policies including planned time off, overtime, and scheduling requests; work allocation and completion objectives; and clarification regarding general workplace, team collaboration, and performance expectations.Assumes additional responsibilities as assigned, including performing project-related work.Provides onsite customer support for all LAN- based, and PC-based applications offered by the firm.Sets up and configures laptop & desktop PC’s and personal data assistants for staff and lawyers.Identifies, researches and resolves technical problems through coordination with others in IT Support.Responds to telephone, email, and in-person requests for technical support.Tracks and monitors all issues to insure timely and effective resolution, escalating to others in IT Support and overall IT as necessary to realize issue resolution.Works with the staff and lawyers to ensure that they understand how to use the technology tools available to them, to enable them to realize the highest level of productivity by minimizing recurrence of use-related issues.Identifies areas in which local office support is deficient and develops the skills necessary to address the deficiency through coordination with the IT Support Supervisor, Office Administrator, and IT Training.Configures and installs new or replacement PC’s, personal data assistants, printers, telephone systems, and other technology tools.Provides multimedia meeting support as necessary to assist the Audio/Visual Support personnel, including the support of projectors and video & teleconference systems.Assists in testing new software & hardware and provides feedback as necessary.Assumes responsibility for ensuring the efficient daily administrative operations of the assigned legal team.
