Job Description

The Executive Assistant position will handle a wide range of administrative and executive support related tasks and will be able to work independently with minimal supervision. S/he will need to be proactive in assessing the executive’s workload in order to identify opportunities to provide additional support to him/her. S/he will also provide administrative assistance to finance team members based in Waltham.

In this position, s/he must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a global operation.

In this position the assistant will be required to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, while remaining flexible, proactive, resourceful, calm, and efficient with a high level of professionalism and confidentiality.

Key Accountabilities:

Daily interaction with CEO, COO, HR Business Partner, and Finance Leadership team as well as other C-suite executives and their assistants

Manage internal and external communications including; conference calls, conference rooms, Lync, WebEx meetings, and Intercall Events

Extensive calendar management; includes 1:1’s with staff, CEO, COO, monthly with BRC colleagues as well as internal staff and external vendors and clients

Organize and arrange heavy travel both domestic & international including;

agenda, transportation, hotel, and all meeting materials required

Extensive knowledge on all in-house applications (T.I.M.E., Concur, Kofax, PMD, ContractsLink, Oracle, Aline, and many more)

Prepare expense reports, review invoices for payment and code as required; process P.O.’s and personnel requisitions as necessary

Liaison to Finance leadership, Business Review Committee, FP&A, Executive Committee, Finance WW, Tax, Treasury, and internal and external vendors and clients

Liaison to Audit Committee Chair; organize documents for distribution to the Audit & Finance Committee as well as attendees

Liaison to FP&A team to organize and collect materials required for submission for Board of Directors, as well as Business Review Committee meetings

Interaction with attorneys within our Leal & Risk Management (LRM) organization for assistance with client contracts, MSA’s, procurement agreements, and vendor contracts

Manage and coordinate events (on-site or off-site) as well as special projects

Provide on-boarding support to Finance leadership as well as exiting staff reporting to the CFO

Provide personal assistance as requested by other members of the finance organization.


Excellent analytical, interpersonal, verbal and written communication skills

Strong work ethic and ability to take ownership of assigned duties

Ability to work independently, with acute attention to detail and minimal supervision in fast-paced environment

Ability to organize and prioritize workload and manage multiple conflicting deadlines and competing priorities to meet the needs of manager

Ability to liaise with senior management within PAREXEL and external organizations

Experience in dealing with strict adherence to confidentiality requirements

Willingness to work outside normal business hours (if needed) in order to meet deadlines or to communicate with business colleagues in other time zones

Comprehensive knowledge of relevant software: Windows, Word, Excel, PowerPoint

Excellent English skills (verbal and written)

Knowledge and Experience

Extensive experience supporting those at the executive level

Exposure to Board of Directors and external client relationship.

Exposure to global operations and/or professional services

Knowledge of industry and/or technical terms a plus


Extensive education in business, a related field or equivalent experience.
