To successfully perform administrative and marketing duties for senior management including Regional Branch Manager and Regional VP of Sales and Marketing. May support additional Branch offices as needed.
MAJOR DUTIES & RESPONSIBILITIES:
Duties may include, but are not limited to:
Under limited supervision, performs administrative duties of a highly confidential nature.
Performs administrative analyses delegated by manager which require a considerable degree of independent decision making.
Collaborates with marketing and branch managers with respects to producer compensation (contingency & Cornerstone program) and producer services (agency codes, agency licenses, writing companies, etc.).
Schedules and organizes activities such as meetings, travel, conferences, and department activities for all members of the department; creates expense reports.
Plans and executes programs, projects, and/or processes specific to the operating unit served; may include planning agency events and other internal events.
Runs various agency reports to be sent back to agent.
Creates monthly sales presentations pulling data from reports and compiling them using Excel and PowerPoint.
Sorts and distributes mail; answers routine correspondence.
Coordinates continuing education courses for producers throughout the Midwest region.
Screens phone calls and visitors; re-routes callers to other departments when necessary.
Collaborates with other administrative staff members within the Midwest region.
Tracks PTO/vacation for the department.
5 to 7 years of demonstrated competence in administrative assistant functions or related experience; experience supporting an executive preferred
High degree of professionalism and ability to interact with high level executives, staff, and non-Chubb business associates
Demonstrated ability to handle highly confidential information
Excellent working knowledge of PC and various Microsoft software programs including Word, Excel, and PowerPoint
Thorough knowledge of the organization, personnel and policies
Thorough knowledge of the role and objectives of the department
Excellent customer service skills
Strong verbal and written communication skills
Self-starter with willingness to take initiative
Demonstrated ability to work independently with limited supervision
Proven ability in planning, prioritizing, and organizing diverse workload
Effective interpersonal skills to be capable of working with all levels of office personnel
