Please visit our Web site at **** Division Profile Our Asset Services group transforms assets into opportunities by providing measurable results in property management, leasing, tenant relations, project and construction management, technical services, risk management, purchasing, energy management and financial reporting. Responsibilities • Provide full administrative support including phone support, typing, reports, filing and distribution of correspondence. • Schedule and coordinate meetings/special events as requested. • Assist in lease administration activities including lease set up, administer lease changes, generate reports, etc. • Prepare and coordinate bid proposals and service contracts and approved invoices. • Assist in bidding process and ensure compliance with Playbook and National initiatives for these bids. • Ensure prompt completion of PM Data warehouse (PMDW). • Maintain lease and property files. • Track and file contracts and insurance certificate; maintain follow-up system for expirations. • Promote and foster positive relationships with tenants and owners and track service calls as required. • Assist with monthly and quarterly management reports as well as annual budget preparation. • Prepare A/R status worksheets, initiate late payment calls, reconcile A/R, and follow up on collections as required. Qualifications • High school diploma, 1+ years of related experience and/or training. • Impeccable customer service skills. • Ability to comprehend instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. • Superb Organizational Skills. • Exceptional interpersonal and collaboration abilities. • Basic knowledge of financial terms and principles. • Ability to prioritize and adjust to shifting priorities in a fast paced environment. • Exceptional communication and problem-solving abilities. • Intermediate Microsoft Office Suite knowledge and the ability to create charts and graphs.
