In this dynamic role, you will provide administrative support to the Executive Director, communications/ development staff and accountant.
Reads and routes incoming mail. Composes and types routine correspondence. Makes copies of correspondence or other printed materials.
Maintains well-organized records and files.
Processes check payments prepared by accountant, copies and files documentation.
Utilizes organization’s membership database software to add and update member records, maintain board and committee member records, and update board history.
Coordinates fundraising recordkeeping, correspondence, and grant making activities.
Provides support for the organization’s publications, including securing and invoicing advertisers, and posting journals in PDF format on website.
Serves as primary administrative contact with Board of Directors and other leadership.
Arranges and coordinates travel schedules and reservations.
Conducts research, compiles and types statistical reports, and assists with preparation of miscellaneous documents.
Coordinates and arranges meetings, reserves and prepares facilities.
Updates website and postings as needed.
Proofreads web copy, journal content, conference publications, and other information.
Trains staff on the operation of various office equipment, troubleshoots operational problems, and arranges for service when necessary.
Secures vendor bids. Orders and maintains organization’s office supplies.
Performs other duties as assigned.
Associate’s degree (A. A.) or equivalent from two-year college or technical school; and five years related experience and/or training; or equivalent combination of education and experience.
Bachelor’s degree is preferred.
Proficient knowledge and expertise with Microsoft Office Suite and experience with data management systems, including website maintenance.
