Responsible for performing a wide range of administrative activities. These may include, but are not limited to, duties surrounding Administrative Support:

Time reporting and associated reporting

Prepare and process bargaining unit employee purchase card statements and out-of-pocket expenses and per diems

Maintain and update Louisburg Area Emergency Manuals

Process invoices on as-needed basis

Maintain filing system

Assist with contracts for service and associated reporting, as needed

Various administrative support duties including, but not limited to, answering the phone, company radio, mail handling, office supplies, and completion of various reports

Input timesheets into the time reporting system and add/delete/revise accounting as necessary

Review and determine the validity of pay codes and accounting in accordance with Company pay policies and procedures

Tracking vacation and time off, incident reporting, posting weekly work schedules, annual vacation schedule and the Gas Control callout schedule

Generate a monthly purchase card statement for all bargaining unit employees, reconcile the charges with receipts provided and complete the appropriate cost coding for each charge as it relates to budgeted costs

Audit all receipts according to specific division requirements and the company purchase card policy

Enter out-of-pocket expense reports and per diem reports for the bargaining unit employees

Update and maintain the Area Emergency Manuals at four area locations

This position will be assigned specific oversight responsibilities for the entire Central Division and will be expected to become the liaison to all locations

Review, code and submit invoices into the SAP Accounts Payable system

Work directly with vendors/contractors to resolve billing discrepancies

Incumbent will be trained on the Accounts Payable system with the intended responsibilities to be backup during peak workload times and on an as-needed basis

File and maintain various forms, reports and correspondence according to the Transmission Filing Guide

Assist supervision and other employees in maintaining files of Department of Transportation (DOT) forms and reports

Provide support during DOT audits

Required Skills

Bachelor’s degree in business administration, or equivalent related experience

Excellent oral and written communication skills

Proficient in Microsoft Office suite

Ability to communicate within all levels of the organization
