Coldwell Banker Commercial (CBC) is seeking an Operations Coordinator / Specialist to support the Operations and Global Client Solutions (GCS) Departments. Primary responsibilities for this role include assisting various CBC team members in the following core areas:

Lead Generation Program

Affiliate Servicing and Support

Franchise Sales / Global Client Solutions Support

Global Conference / Misc. Events

Invoice and Contract Support

Administration Functions

This role will also entail various other strategic projects to further operating efficiencies within the brand. The ideal candidate is well-rounded and able to handle a wide range of responsibilities, as highlighted below.

Lead Generation Key Responsibilities:

Track & receive signed referral agreements

Project coordinate lead tracking program

Provide updates on active deals and weekly report to Senior Leadership

Support & follow-up where necessary  

Affiliate Servicing & Support

Develop and expand relationship affiliates and provide direct customer facing service support

Ensure a high level of customer satisfaction by responding to client concerns developing solutions

Proactively position and differentiate our products, tools and systems to reinforce the value proposition

Closely coordinates company executive involvement with customer management

Promote events, training offerings and other initiatives to Brokers

Maintain and increase broker satisfaction ratings

Provide follow-up on affiliate matters

Generate reports, collect data and deploy surveys when necessary

Franchise Sales / Global Client Solutions Key Responsibilities:

Maintain GCS pipeline report of targeted franchise sales companies

Assist (when needed) in preparing presentation materials for sales calls

Assist in managing GCS Budgets

Track all GCS revenue

Maintain GCS deal / pipeline report

Assist with collections (as needed)

Manage Referral Tracker & Monthly Report

Global Conference / Events Key Responsibilities:

Assist where necessary in the program development and execution of proprietary CBC events including Global Conference and Regional Meetings

May require minimal travel  

Invoice and Contract Support:

Assist invoicing process by setting new vendors for payment, tracking and coding all invoices and maintaining activity log of invoices

Assist with contract support including organization agreements into online database

Liaise with legal teams to ensure compliance with all third party vendor, relationship contracts.

CBC Senior Leadership Administration Key Responsibilities:

Make any necessary travel arrangements

T&E assistance

Cover CBC president telephone

Manage CBC president calendar

Additional responsibilities as assigned  

Minimum Requirements:

BA/BS required

1-2 years’ work experience

Employee must have budgeting/P&L experience

Employee must have strong MS Excel skills (Pivot Tables, v-lookups, etc.)

Experience in operations or related experience in a busy office environment

Proven analytical and problem solving skills

Strong attention to detail

Maintains staff and client confidentiality

Excellent time management, planning and organizational skills

Ability to multi-task in a fast-paced environment

Must be able to work in a team-based environment and individually

Ability to take initiative and be proactive

Strong professional work ethic

Professional demeanor

Working knowledge of email, scheduling, spreadsheets and presentation software (MS Office Suite)
