Manager, Litigation Operations
The candidate will be responsible for supervising non-lawyers within the litigation group including 3 Paralegals, a Law Clerk, a Legal Secretary and a Legal Records Assistant. This includes workload management, allocation of assignments and proactive planning and administration of training. Manage law firm relationships, serving as primary contact to law firms on billing issues. Work with law firms to reduce spend; edit and reinforce outside counsel guidelines. Responsible for negotiating fee arrangements with law firms for particular matters and for handling the annual rate review process. Manage the Enterprise Information Governance Program, which includes hard copy and electronic records, keeping policies up to date and ensuring education and compliance throughout the Company. Oversee the full life cycle management of physical and electronic records and information and provide direction to the Enterprise. Main contact for Insurance Recoveries (liaison with internal Insurance Department as well as direct contact with insurance brokers and carriers), including notifications to carriers of new matters, requesting reimbursements and tracking spend v. recoveries. Handle regularly scheduled monthly, quarterly, and annual reporting requirements in conjunction with Vice President, Litigation, Labor and Employment. Cultivate new ways of leveraging data to learn more about the teams portfolio and make recommendations on how to improve the processes. Serve as manager and administrator of the Departments technology platforms, including but not limited to eBilling and Matter Management systems. Serve as the Subject Matter Expert for the Litigation, Labor and Employment group related to new technologies from other groups which impact the team's work. Responsible for the annual budgeting process, ongoing monitoring of budget to effectively control costs. Drive key initiatives and develop policies and processes required for maximum efficiency and consistency across the practice group. Develop the department's short and long-term operations plans. Provide leadership and guidance to the organization on the retention and destruction of information, documents and records to ensure compliance with the Records Retention Schedule and regulatory and legal requirements. Oversee new-hire onboarding and orientation for the practice group and administer ongoing training for the non-lawyer staff. Complete ad-hoc and special projects as requested/required. Manage, develop and train staff; develop and monitor goals; conduct annual performance reviews, and administers salaries for the staff.
