Legal Assistant
The candidate will be opening, routing and responding to correspondence, answering the telephone and routing/taking messages, as well as providing high-level general clerical support to the lead manager and assigned supervisor. Secondary duties will include various special projects related to the events and activities in which the organization or lead manager is involved. Utilizes computer hardware and software to produce documents. Reads and routes incoming legal mail. Locates and attaches appropriate file to correspondence to be answered by Department of Justice (DOJ) Accredited Representative(s) or Attorney(s). Takes dictation in shorthand or by machine nd transcribes notes on typewriter or computer, or transcribes from voice recordings. Composes and types routine and complex correspondence requiring ability to create merge documents and graphics. Makes copies of correspondence or other printed materials. Prepares outgoing mail and correspondence, including e-mail and faxes. Assists with the coordination of special events. Facilitates completion of immigration applications (Deferred Action for Childhood Arrivals, Citizenship, etc.). Translates documents from Spanish to English and vice-versa. Provides information to potential immigration applicants. Help implement fees for service program, which includes, but is not limited to, DACA, Citizenship, etc. related applications preparation and filing. Provide necessary follow-up after intakes to evaluate client's eligibility for relief. Follow up includes performing legal research, obtaining additional information from client, etc. Assist/coordinate and direct on-site/off-site group processing workshops. Development and dissemination of immigrant rights materials. Provide administrative and legal support to Attorney(s), DOJ Representatives, and other management staff. Conducts initial intake for Immigration clients Answers and screens telephone calls, and arranges conference calls. Coordinates DOJ Accredited Representative or Attorney and own schedule and makes appointments. Assist other office staff with administrative needs. Arranges and coordinates travel schedules and reservations. Organizes and maintains file system, and files correspondence and other records. Greets all visitors/clients and assists them with questions and appointment needs. Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings. Coordinates office volunteers. Should have Experience working in immigrant communities, communities of color, and low-income and working class communities. Should have Spanish language fluency (reading/writing/speaking); Must be bi-literate English/Spanish. Associate's degree (A. A.) or equivalent from two-year college or technical school; and two years or more of related experience and/or training; or equivalent combination of education and experience.
