Intake Investigator, Senior Specialist
The candidate will conduct the intake, review and triage of allegations, including work environment concerns and advice matters, reported to the HelpLine in a timely and efficient manner. These matters are triaged to the appropriate personnel for handling and follow-up. Will interview reporting parties to gather additional information when necessary. Will collaborate with the various stakeholders in the review of these matters to ensure a smooth transition. Will have oversight and management responsibilities of the NAVEX system and look for process improvements. Review all completed investigations to ensure compliance with the Investigation Procedures case closure guidelines including verifying all relevant documents are uploaded in the system, all parties have been notified off the outcome of the investigation and that the matter has been properly categorized. Work with Compliance to identify matters that require remedial measures or a root cause analysis. Assist in the preparation of the quarterly reports provided to upper management that contain HelpLine data. Look for creative ways to improve the reports and the manner in which the data is presented and work diligently to identify trends or hot spots. Manage and support improvements with the case management system (NAVEX). Ensure that data integrity issues are resolved promptly and that costs associated with the administration of the system remain within budget. Assist other stakeholders who utilize NAVEX and look for process improvements and consistency in the use of the system for improved reporting capabilities. Conduct ethics investigations on an as needed basis when the Ethics Office has resource constraints. In addition, conduct outreach and training regarding the HelpLine process to employees on an as needed basis. Bachelor’s degree or higher in Human Resources, Psychology, Business Administration, Accounting, Engineering, Public Administration, Criminal Justice or a related discipline. 5+ years of experience conducting intake and triage of allegations, or investigating ethics, audits, or HR related matters. Experience using Microsoft Word, Excel, Access and PowerPoint proficiently. Demonstrated experience conducting evaluations for regulatory compliance preferred. Demonstrated experience managing multiple cases or projects to timely resolution preferred. Demonstrated experience obtaining factual information through interviews and the review of documents preferred. Must demonstrate the ability to integrate work across relevant areas, develop the business and services to enhance customer satisfaction and productivity, manage risks appropriately, develop and executive business plans, manage information and provide exceptional service to internal and external customers. Demonstrate strong writing skills. Demonstrated experience developing information through computer databases. Certified Public Accountant; Engineering license; Law license; Certified Compliance and Ethics Professional (CCEP); Certified Fraud Examiner (CFE), Association of Workplace Investigators (AWI) Certificate, Paralegal Certification, Accounting Certificate. Must demonstrate strong ethics, negotiation skills, leadership interpersonal skills and the ability to effectively manage stress and engage in continuous learning.
