Legal Administrator
The candidate will be responsible for: Coordinates ongoing electronic filing of all contracts, legal documents, and correspondence including customer, vendor, and other agreements. Researches department electronic and physical files, as requested. Assists in-house counsel, contract managers, and internal department requests in retrieving and assembling documents for compliance, in response to pre-litigation and / or litigation requests, departmental binders, or other document retrieval and assembly as directed. Regularly updates, maintains, and organizes legal contracts database, hard copy, and network legal files. Creates and maintains informational spreadsheets, checklists, and databases as requested. Responsible for contract and other document signature routing and tracking. Responsible for intake of new contract requests and the entry of matters into legal contracts database. Provides initial review of new contract requests or other documents for completion prior to assignment. Maintains legal contracts database regarding contract requests and other legal business as requested. Communicates with business units regarding ongoing status of open request(s) with Legal Department. Responsible for drafting correspondence, reports, and other complex documents as requested. Responsible for sending and tracking faxes, mailings, overnight deliveries, and arranging courier service and other official correspondence. Follows established procedures to meet departmental and internal customer needs in an innovative and resourceful manner while preserving strict confidentiality of all information. Responsible for training department staff in the use of all systems and procedures used within the department, including legal contracts database, filing processes, contract notifications, and routing procedures. Performs complex and confidential secretarial functions, including purchase requisitions, payment requests, expense reports for assigned attorney(s), and filling out other department forms and documents accurately and timely as required. High School Diploma or GED required. Bachelor’s Degree in a related discipline preferred. Paralegal Certificate or its equivalent from an ABA-accredited program preferred. Should have 3-5 years of relevant law firm and / or corporate legal department administrative experience. Must have ability to prepare template documentation for internal review. Ability to review contracts and extract and analyze relevant information as requested. Proficiency in Microsoft Office applications, including Word, Excel, Access, and Salesforce required. Must have ability to learn and become proficient in new software applications.
