Executive Assistant/Office Manager
The candidate will answer incoming calls, distribute mail, maintain public areas, order/stock office supplies, and coordinate equipment maintenance/repair. Support legal team with calendar management and updating matter list; setting up court reporters, court calls, and conference calls; making travel arrangements; and photocopying, scanning, and filing. Provide administrative support for various Partners, including: AmEx reconciliation/expense reports, calendar and contacts management, file and email organization, bio/website updates. Support professional activities through prep work/presentation development and organization for speaking engagements, participation in committee calls and work for professional organizations, etc.. Assist in the preparation of pleadings and other legal documents, correspondence, discovery, exhibits, argument preparation, etc., including organization, formatting, cite‐checking, and proofing. Perform administrative functions such as assisting in maintaining a paperless office by scanning and filing documents in document management system, calendaring deadlines, and performing word processing functions, filing, efiling, service and mailing of pleadings, documents, correspondence and courtesy copies. Assist in remote work and depositions, including use of One Drive and collections of documents for electronic review by attorneys.
