Executive Assistant
The candidate will have heavy calendar management with independent decision-making and planning based on priorities, which requires forward-thinking and strategizing. Maintain and prioritizes daily action items for personal follow-up and management. Determine when to act on behalf of the CAO and when to refer problems for personal attention. Handle highly confidential and critical information, including data related to firm management, human resources, budget, forecasts, etc. Take initiative to prepare responses and assemble background information from available sources. Follows up to ensure that proper and timely action is taken. Collect and prepare information for use in discussions/meetings of senior staff and outside individuals, which may involve preparing high-quality, executive-level PowerPoint presentations, Word documents, and/or Excel spreadsheets. Assist in maintaining appointment schedules and coordinating meetings including conference calls. Proactively monitors and manages email inboxes, as requested. Arrange travel and hotel reservations, as requested. Assemble information and prepares materials including itineraries. Accurately prepare expense statements. Manage and organize events, both Firm related and personal (planning, logistics, attendee confirmations, etc.), as requested. Should have 3 years of C-Level Executive Assistant experience. Bachelor's Degree is preferred; specialized C-Level Executive Assistant knowledge and experience; strong professionalism, confidentiality, time management, communication, customer service, teamwork, and organization skills; ability to determine the priority and urgency of specific tasks, actions, and requests; flexible and able to perform in a fast-paced, changing environment; strong knowledge of Microsoft Office, especially Excel and PowerPoint; strategic agility and decision-making abilities: a problem solver. Excellent communication skills and the ability to handle situations in a professional manner are essential. Should be an organized self-starter with exceptional business acumen and strong analytical, organizational, and communications skills; need to possess the ability to multi-task and hit time-sensitive deadlines; will perform advanced, diversified, and confidential duties that may be administrative in nature or project based. Strong analytical and critical thinking skills are required. Should have the ability to coordinate events such as committee meetings, team meetings, and officer meetings, as well as arrange on-site and off-site events ranging from small dinners to large-scale events is required.
