We are seeking a professional, self-motivated and resourceful individual to join our organization as an Executive Assistant. Successful candidates must be extremely detail-oriented, observant and able to use their own judgement in order to solve problems and improve processes based on prior experience within similar administrative roles. This individual must be a problem solver, able to exercise discretion while handling confidential information, and adjust schedules/plans as necessary in order to enhance the effectiveness of the executive department in handling day-to-day activities of the company.

Industry: This position is part of our Administration division, which supports multiple operating divisions that serve a nationwide customer base in industries ranging from residential communities to the financial industry to the medical field.

Responsibilities: The Executive Assistant is primarily responsible for providing support to the CEO and executive department. Other key responsibilities include:

  • Prioritizing multiple tasks and responsibilities, meeting deadlines, and communicating clearly and effectively
  • Identifying issues and asking questions
  • Ability to protect information and maintain a high level of confidentiality based on the exposure to sensitive information
  • Promoting our company reputation and values through personal appearance, resourcefulness, and integrity
  • Understanding and upholding the policies, professional standards, and values of our company and the industries it serves
  • Competitive analysis
  • Redlining of contracts and routing of contracts for execution, and maintaining the file system for contracts
  • Web research
  • Calendar management
  • Making travel arrangements
  • Communicating with high-level professionals
  • Preparing meeting materials, including spreadsheets, presentations, and reports
  • Reconciling expense reports and other documents relevant to business operations
  • Screening and monitoring incoming calls and correspondence and ensuring timely resolution of all phone, mail, and email inquiries
  • Identifying all action items and ensuring all priorities are addressed
  • Managing timelines and project organization
  • Other projects as assigned

Experience: Candidates must have at least five years of relevant work experience.

Education: A bachelor’s degree is required.

Personal Attributes: Candidates must exhibit exceptional analytical, organizational, and time-management skills. Other relevant attributes include:

  • Perceptive; able to identify priorities, ask the right questions, and anticipate problems before they arise
  • Thinks quickly on their feet and readily adapts to changes in schedule and procedures
  • Has a proven ability to organize and interpret a high volume of information

Technical Skills: Candidates must have strong general office skills, including advanced proficiency with Microsoft-based operating systems, excellent Internet knowledge, and other common tools, including the following:

  • Microsoft Word
  • Microsoft Excel
  • Microsoft PowerPoint
  • Microsoft Outlook
  • Working knowledge of database systems
