Legal Administrative Assistant
The candidate will be responsible for managing office correspondence, including answering phone calls and emails, arranging meetings and travel, and ensuring our legal team is aware of upcoming deadlines. Will also assist with preparing legal documents and contracts and perform any other tasks as needed to ensure our firm is operating efficiently. Undertake other duties as needed to ensure the firm operates efficiently. Conduct legal research, when necessary, with guidance from attorneys and paralegals. Schedule meetings and appointments for the team, such as depositions, make travel arrangements, and coordinate with outside vendors for events. Process client billing properly using daily time records with help from the accounting department. Assist with the creation of various litigation documents, including pleadings, motions, subpoenas, affidavits, contracts, and briefs for case preparation, and proofread documents as needed. Serve as the backup for answering incoming phone calls. Take messages and pass them along to the appropriate parties. Daily voicemail maintenance. Open and close client files. Filing for case files. Help with the mail. Filing legal documents with the Courts. Send welcome packets to new clients when asked. Update client information in our case management system. Send appropriate cards/gifts to current clients; and Other tasks as assigned. Minimum 1-2 years of experience in a law firm or office environment as an administrative assistant or secretary. Must be able to type at least 50 WPM. Able to meet demanding deadlines in a fast-paced environment. Proficient with MS Office products. Some knowledge of legal software, case management, and docketing programs. Must be a resident of the Upper Marlboro area in Prince George’s County, Maryland. Must have legal office experience. Must have a pleasant phone voice. Must be detail-oriented. Must be willing to learn software applications. Must be familiar with mail practices. Must be willing to drop everything and file documents with the Courts. Must be willing to drop everything and run unexpected errands. Must be willing to act as the backup to our Legal Intake Specialist, when necessary. Must have a valid driver’s license. Must have a reliable vehicle. Must have valid automobile insurance that includes medical coverage for yourself and others involved in a vehicle accident while you are working, and Must be familiar with Google Drive and G-Suite products. Family law, personal injury, and/or criminal law experience, are highly desired.
