University Policy and Compliance Coordinator

The candidate will develop, draft, review, and oversee the approval process, and maintain records for policy changes and policy implementation. Responsible to coordinate compliance tracking and coordination across the organization, working collaboratively with compliance officers and others responsible for compliance in the various vice presidential divisions of the University. Must be able to provide background and history on various UI policies; act as a resource for interpretation of policies and processes; and ensure appropriate communication of policy changes and policy implementation across the organization and appropriate communication of compliance issues to University administration. Overseeing and managing the University of Idaho policies and procedures manuals (Faculty-Staff Handbook and Administrative Procedures Manual) and the process and procedures for creating and editing policies. Establishing and maintaining relationships with constituents (UI faculty, staff and students), the Secretary of the University Faculty, and the Vice Provost for Faculty to provide support for the development and implementation of policy. Ensuring constituents have the appropriate information about policy changes, impacts, and effects on other policies. Drafting policies and assisting constituents in drafting policies. Overseeing the process used to initiate policy changes and/or create policy. Monitoring and documenting the status of proposals and edits through each step of the process. Ensuring appropriate constituents are involved in the editing and reviewing stages of the process. Overseeing the process used to approve policy changes or when new policy is created. Working with committees, task forces, administrative offices, governance bodies, legal counsel and the Office of the President to move policies forward through the work flow for approval. Overseeing the finalization and publication of policies. Ensuring appropriate communications are disseminated across the organization. Ensuring web sites and manuals are appropriately maintained and updated. Initial creation of an institutional compliance map denoting University units and personnel responsible for all aspects of institutional compliance. Ongoing maintenance and updating of the compliance map. Coordinating compliance efforts throughout the University in accordance with the map. General monitoring of compliance efforts across the institution. Receiving reports on compliance matters from institution personnel responsible for compliance and making reports on compliance matters to institution counsel for reporting to the Board of Regents per institutional and board policy. Working with institution legal counsel and with compliance personnel in the various divisions of the University when issues arise. Effectively working across the organization to provide education for policy creation, editing, and compliance functions. Working collaboratively with faculty, staff, governance bodies, and administrative units to seek information, input, bring groups together to inform, and discuss institutional needs. Effectively communicating changes, approvals, and implementation across the organization to ensure appropriate awareness for changes in practice, procedures, and adherence. Must have JD degree or undergraduate degree with 3+ years of experience drafting legal documents such as regulations, legislation, and institutional policies. Must have experience drafting policy or representing governmental agencies or higher education institutions and/or other experience that is demonstrated as relevant to the job responsibilities defined in the position description. Demonstrated experience with laws and regulations relevant to higher education preferred. Demonstrated experience drafting legal documents such as regulations, legislation, and institutional policies desired. Demonstrated experience in higher education compliance in a research university or a governmental equivalent preferred.
