Aon is looking for an Executive AssistantAs part of an industry-leading team, you will help empower results for our clients by delivering innovative and effective solutions within Risk on our Aviation team in New York, NY. As an Executive Assistant, you will report directly to the Practice Leader. Your impact as an Executive AssistantThe Executive Assistant provides administrative support to a team of associates within a workgroup, practice area or client team. Support ranges from clerical and logistical matters to document production and the effective use of office applications. The Executive Assistant will respond promptly, thoughtfully and effectively to changing work environments, changing priorities and new situations. Additionally, the Executive Assistant will possess the skills and ability to communicate effectively and appropriately with internal resources, and other parties in a global and virtual working environment. The Executive Assistant is integral to the efficient workflow within the office environmentJob Responsibilities:Act as a key resource for the team, i.e. independently seek out answers to questions, take initiative, use network of resources to solve problems. Be strategic, tackle problems and establish procedures that demonstrate process improvements.Answer phones/take messages as applicableCoordination of travel arrangements as well as creating itineraries for business trips.Schedule and coordinate meetings, conference calls, conventions and other events including reserving meeting space, room blocks etc. as well as arranging appropriate equipment/materials and provides hospitality services as needed for meetings. Prepare and submit expense reportsProvide assistance and support of Time Tracking Prepare and produce high quality client presentations and correspondence, graphic presentations and other documentsPrepare special or one-time reports, create and maintain any vital updates to spreadsheets to support reporting analysisEnsures adequate office supplies, processing orders as needed, including IT equipment. Assist and coordinate colleague onboarding as needed.Maintains database information, such as mailing lists, vendors, etc. in applicable format.Maintains information needed for expanded team in shared drivesProvide support for brokers as needed, including preparation of documentation and follow up with carriers. General support of team as requiredYou bring knowledge and expertiseIt is imperative that the individual is a great teammate and demonstrates flexibility and willingness to complete tasks as the need arises. Required Experience:Strong PC skills including Word, Excel, PowerPoint Excel in customer service and possess exceptional attention to detailStrong communication skills – verbal and writtenDemonstrates discretion on highly private and confidential mattersHighly organized, with strong multi-tasking skills, strong attention to detail.
