Regional Coordinator - Remote (EST Hours)

Description
The Regional Coordinator for the Northeast Region will oversee and organize the daily activities of the regional leadership team, including and primarily the Regional President. This virtual role requires someone who is organized, efficient, detailed orientated, and has good interpersonal and communication skills, as well as the ability to think critically to plan, synchronize, and execute activities with a diverse set individuals in different roles. Activities include coordinating and scheduling meetings and events, expense and travel management, oversight and drafting of email and instant messaging correspondence, client/customer outreach and follow up, internet research and application activities as well as preparing invoices and billing.
Responsibilities
The Regional Coordinator will oversee and organize the daily activities of the regional leadership team, including and primarily the Regional President. This position will report directly to the Regional President and will work very closely with the Chief of Staff along with the regional leadership team.
Coordinates internal and external meetings which involves scheduling meeting times, making travel arrangements, and ensuring that various meeting amenities are available specifically virtual platform set up as well as room logistics
Manages the appointments and schedules of the Leadership team to include virtual and physical formats i.e. Zoom, WebEx, Teams and MS Outlook to reserve space
Drafts and proofreads a variety of material (e.g., associate and client correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations) using MS Outlook, Teams, Word, Excel and PowerPoint
Oversees and organizes the Regional President's email and calendar inbox, outreach to internal and external customers/clients on behalf of the Regional President
Additional responsibilities include internet research, ordering supplies online, managing and distributing packages and mail in the office and to remote locations as well as maintaining office supplies or other inventory
Works within defined parameters to identify work expectations and quality standards, and is required to be proactive and leverage critical thinking skills to meet project deadlines and tasks with minimal direction
Follows standard policies/practices that allow for some opportunity for interpretation/deviation and/or independent discretion
Required Qualifications
Proficient in Microsoft Teams, Outlook, Word, Excel and PowerPoint
Comfortable and agile using multiple platforms and technology applications (e.g. Zoom, WebEx, Kayak, Shutterfly, etc.)
High sense of urgency and attention to detail
Strong verbal and written communication skills; excellent customer service skills
Ability to multitask
Strong organizational skills
Ability to balance multiple initiatives and prioritize workload
Professional demeanor and appearance
Capacity to maintain confidentiality
Preferred Qualifications
Associates or Bachelor's Degree
3 years of experience in an administrative or customer service position
Additional Information
Remote position with willingness to travel to NYC for meetings as needed, 25% of the time
Hours are 8 AM - 5 PM M-F
For this job, associates are required to be fully COVID vaccinated or undergo weekly COVID testing and wear a face covering while at work.
