invites applications for the

Associate Director of Montana American Indians in Math and Science

(MT AIMS), a program funded by a combination of federal funds, state funds, foundations, and donors. Through design of a comprehensive educational plan, MT AIMS develops the requisite academic skills and motivation students will need for success in a program of post-secondary education. MT AIMS is focused on middle and high school students from tribal reservations, mostly Native American, first generation, and/or low income.

The MT AIMS Associate Director, under the general direction of the Director of MT AIMS and Indigenous Research and STEM Education (IRSE), is responsible for the following administrative functions of the MT AIMS program: planning, proposal writing, reporting, evaluation, program regulatory compliance, budget, service provision, and staffing.

Reporting to the Director of MT AIMS and IRSE, MT AIMS Associate Director is specifically responsible for the following:

Program service planning and design.

Develop, implement, and evaluate recruitment, advising, teaching, and other educational services for students from and near Montana’s tribal reservation and other Native serving communities to include:

Recruitment: The Associate Director is responsible for managing the recruitment, selection, and orientation of eligible program participants in accordance to the objectives of the program. Includes overseeing maintenance of the program’s website, printed promotional materials, contact with school districts and parents, and the program’s student applications and enrollment forms.

Summer program component: The Associate Director is responsible for managing the planning, implementation, and evaluation of the summer academic and residential dorm component services and activities.

Academic year component: The Director is responsible for the planning, implementation, and evaluation of the academic year services and activities.

Reporting.

Assist in the planning and writing of the annual performance reports for the various funding sources that document program’s progress in attaining funded objectives, and substantiates student progress within the program

Budgeting.

Plan and prepare annual program budget within the scope of the various grants and in compliance with the regulations of the funding source.

Oversee the maintenance of a computerized internal accounting system that monitors daily expenditures, reports monthly balances, forecasts end of grant year budget status, and reconciles internal ledgers with the UM Banner financial accounting system.

Monitor budget status to ensure compliance with the regulations of the funding sources, and budget solvency.

Evaluating.

Conduct on-going internal program evaluation in coordination with the Evaluation Team and based upon the evaluation results, make necessary changes in program operation to ensure optimal performance.

Accountability and record keeping.

Oversee the maintenance of a computerized relational database and student filing system to record and update student data, and to ensure compliance with reporting responsibilities.

Staffing.

Recruit (in accordance with UM and state hiring procedures), supervise, train, and evaluate program staff (One Academic Coordinator (1.0 FTE), 3-5 summer instructors, 20-30 summer counselors, and future staff as the program grows).

Public Relations.

Create and maintain effective working relationships with key target school administrators and UM personnel. Serve on campus, target school, and/or target community committees that provide venues for promoting MT AIMS.

Professional Development.

Participate in professional development training and workshops that will inform, update, and enhance MT AIMS performance.

Daily program management.

Plan and supervise the daily operation of program tasks to ensure full compliance with record keeping requirements.

Position Details

Position is full-time, 1.0 FTE, Letter of Appointment and includes a comprehensive and competitive benefits package

including Insurance package, mandatory retirement plan, partial tuition waiver, and wellness program.

Salary for this position is $52,000 - $60,000 per year commensurate with qualifications.

Required Qualifications and Skills

Bachelor’s degree in education, administration, or related field and three (3) years of teaching or advising experience that included student assessment and service design, or an equivalent combination of experience and education.

Progressive responsibility in the successful administration of programs serving the academic needs of traditionally underrepresented groups in higher education.

Experience and/or training in establishing and managing complex budgets within federal and/or state guidelines.

Demonstrated ability to develop institutional and target school liaisons and to evaluate student performance and program outcomes.

Proven experience in staff recruitment, training, and evaluation.

Demonstrated effective written, oral, and interpersonal communication skills.

Critical analysis skills in conducting research, reviewing alternative sources and developing solutions.

Knowledge of supervisory practices and procedures with the ability to lead a team.

The ability to communicate complex information, including relevant historical data, to diverse, and sometimes large, groups.

The ability to travel.

Preferred Qualifications

One year of successful experience directing MT AIMS or a similar federally funded education program.

Successful grant writing experience.

Experience managing student data within a relational database, and reporting outcomes.

Prior experience working with minoritized populations, including Native Americans.
