Maintenance Planner and Scheduler is responsible for making sure maintenance technicians have the tools and parts they need to complete work orders. Also expected to schedule maintenance in a way that minimizes equipment downtime and impact on production. A maintenance planner reports to a maintenance supervisor or facility manager. Basic common knowledge of facility maintenance, including HVAC, electrical, plumbing, etc.

  Essential Duties

Comply with all site safety and environmental policies

Plan and schedule corrective and preventive maintenance activities by task and priority level

Manage spare parts and alignment between the maintenance department and stock room

Manage work orders, documentation, and assets within the computerized maintenance management system (CMMS)

Ensure employees know CMMS process (i.e., mobile app)

Assist with coordination of plant-wide shutdowns

Ability to communicate effectively with all levels of the organization

Ability to work in a self-directed manner

Ability to recognize opportunities for process improvements and assist with implementing them

Computer skills and knowledge of various CMMS software

Screen all notifications, except emergencies, in assigned area of responsibility to see that the notification accurately defines the scope of work, meets the criteria for the assigned priority, and is a valid request for work to be performed by maintenance personnel.

Converts notifications into maintenance orders (MO) and creates a maintenance work plan. As needed, secure additional information prior to converting the notification into a maintenance order.

As required, reviews the cost estimate with the applicable facility manager before proceeding with the order

Create detailed job plans for all MOs in area of responsibility, except emergency MOs, via work order system.

Create a job package that goes to the field for use by the appropriate technicians. The job package would include: a copy of the MO; technical service data; reference drawings; any additional safety information.

Create and maintain multiple databases. This includes data input for functional locations, equipment, bills of material, reusable job plans for repetitive jobs, predictive/preventive maintenance task list, equipment items and maintenance plans.

Provide materials, tools, services and equipment through requisitioning, storehouse stock, purchasing cards or rentals (for non-emergency work only).

Create and maintain Preventive/Predictive Maintenance (PPM) tasks/orders via work order system to be used in the scheduling process.

Monitor KPI metrics through CMMS and provide services to help maintain target levels.

Communicate with maintenance, operations, vendors, manufacturers, and contractors; facilitate expedition of materials and services for all work per directive.

Perform special duties as assigned by the Planning/Scheduling Lead that are applicable to the maintenance work processes.

Develop scope of work for competitive bid processes.

Following execution of the work, certain critical information is recorded for future reference including correction of any parts related data, identification of the failure code for the work involved, update any reusable job plans as needed, capture of any data specific to the job and included in the CMMS record, close out of the work order.

Minimum Requirements

High school or GED Required

Previous planning and scheduling experience a plus

Must have previous experience with CMMS programs (i.e., Plan On)

Computer literate and able to learn various systems and programs

Ability to adapt to process modifications and support/lead

Ability to understand and carry out instructions quickly

Ability to maintain good working relations with others

Ability to keep accurate records of activities performed and complete basic reports

Excellent time management skills and ability to multi-task and prioritize work

Attention to detail and problem-solving skills

Excellent written and verbal communication skills

Strong organizational and planning skills

Proficient in MS Office a plus
