Alumni Relations and Gift Processing Coordinator
The candidate under the supervision of the Director of Development Services and the Director of Alumni Engagement. The primary functions of this position are to process all gifts and pledges to Law Development and Alumni Relations ("LDAR") and to provide support to the alumni relations team. Ensure the proper receipt and tracking of all incoming gifts and pledges that arrive through LDAR including the completion of gift transmittals for processing, credit card information processing and scanning of gift paperwork for archives. Track long-term pledges and pledge payments for both restricted and unrestricted funds. Work with Stewardship to draft gift acknowledgment letters for gifts of $5,000+. Create daily gift reports, verify proper processing, and submit gift adjustment requests as needed.Organize and manage all confidential financial records, including protecting credit card privacy. Work with the Director of Development Services to send out thank-you cards and emails for gifts to Penn Law. Work with Stewardship to send out gifts and correspondence for Alumni birthdays, as needed. Provide varied and complex support and assistance to all staff as necessary (reports, event staffing). Additional duties as assigned by the Director of Development Services. Support the Director of Alumni Engagement, Associate Director of Alumni Relations and Assistant Director. Work with Communications and other Law School departments to create a schedule of email communications to alumni.Review and send communications. Compile and coordinate the regular release of information to the Penn Law alumni community through relevant social media platforms. Circulate invitations to all events to development team as well as for inclusion on relevant social media platforms. Research and run reports as needed to identify alumni in specific regions and practice areas (among other search terms) as requested. Send emails to alumni on behalf of other departments per policies. Maintain a master event calendar and database for all events planned and implemented by the Law Development and Alumni Relations department.Calendars are to be shared with firm, the Law School (through the overall events calendar) and Central DAR as appropriate.All alumni contacts including event attendance should be entered into the University Atlas database. Provide staffing support, as needed, for all alumni relations events including Reunion, Law Alumni Society Board meetings, Club and Affinity group events and Graduates of the Last Decade (GOLD) events.This support includes, but is not limited to, signage, invitations, rsvps, name tags and briefing books. Maintain up-to-date contact information on all JD and LLM graduates as it is received through various outlets. Assist with content for Law Alumni website Maintain Social Network sites with input from other staff Other duties as assigned. A Bachelor’s Degree or equivalent in experience required. 2-4 years’ experience in related field or equivalent combination of education and experience is required. should have excellent communication skills, both oral and written. Must have knowledge of social network sites. Knowledge of Cvent and MailChimp a plus.
