Summary of Duties:

Works closely with the Regional Director to promote Health and Wellness to all seniors in the local communities through community outreach. Collaborates daily with the Clinic Administrators and Activity Center Coordinators. The goal for the Activity Centers is to promote growth and retention of seniors who attend activities daily.

Job Overview:

The Activity Coordinator Assistant II position is responsible for assisting the Regional Director with the coordination and planning of wellness programs and activities in the Activity Centers. These duties include exercise classes, health seminars, special events, scheduling, supervision, and maintenance of the day-to-day operations and programs of the Activity Centers. This position is also responsible for ensuring that Activity Coordinators meet monthly calendar requirements as well as assisting Activity Coordinators in learning of the newly implemented software programs and any day to day administrative work needed such as placing office supply orders, creating spreadsheets needed by the Regional Director for upper management meetings and reporting by using Administrative Writing Skills. Supports Innovation, Developing Standards and gives input during the interview process of prospective activity coordinator and vendors.

Essential Functions:

Provides assistance to Activity Coordinators in planning, organizing, documenting, and implementing health/wellness programming events for participants in editing all regional calendars for the Regional Director of Activity Centers.

Receives and responds to questions and concerns from Activity Coordinator and refers to Regional Director as appropriate.

Provides assistance to Regional Director in developing and implementing policies, procedures, and staff training.

Provides assistance to Activity Coordinators in conducting group and individual health and wellness seminars.

Assists the Regional Director in conducting community outreach and seeks out community partnerships to expand health and wellness program offerings.

Assists supervisor with budget development and management.

Assists in providing documentation on evaluation of wellness programs as it pertains to marketing, attendance, participation, and performance data.

Provides training to staff and volunteers on the overall management of the Activity Centers.

Provides administrative task support and assistance to the Regional Director of Activity Centers such as maintaining inventory of marketing supplies, creating and maintaining data entry forms used for reporting at JOC meetings by the Regional Director of Activity Centers.

Inspects fitness and wellness facility areas for maintenance and repair, cleanliness, safety, and efficiency of operations.

Ensures the well-being of members participating in Activity Center Activities is maintained.

Builds strong relationships with members and staff members within the organization as well as those organization affiliated within the organization.

Recruits and supervises volunteers for Food Bank distribution and Activity Center events.

Participate in marketing with emphasis on increase attendance to the Activity Centers

Coordinates community involvement within the facility.

Provides assistance to Activity Coordinators in maintaining Food Bank documentation as required by federal regulations as provided by the Food Bank of San Antonio.

Provides assistance to Activity Coordinators with the Intake Food Bank applications and recertifications.

Provides assistance to Activity Coordinators Food Bank distribution and in creating and effective distribution program.

Researches and develops appropriate activity programs for high, medium, and low functioning members.

Acquaints members with activity programs and encourages participation in all group activities.

Completes purchasing documents as indicated through the Workday Software

Performs other related duties as assigned.

Must be able to follow policies and procedures and work flexible schedule and location.

Attend professional development trainings, community collaborative, Board and commission meetings.

Provide ongoing administrative support to the Regional Director for other projects to schedule meetings, draft summary note, share project information with Center Administrators and Corporate Regional Directors

Job Requirements:

Experience in a patient facing role involving structured and planned activities

Experience in Community health outreach programs

Ability to work independently under general instructions and with a team

Valid driver license and dependable transportation necessary

Computer skills -including MS Outlook, Word, Excel, PowerPoint, Workday

Excellent communication, time management, and organizational skills.

Ability to communicate effectively/professionally with individuals at all levels of the organization

Speak to groups to; initiate and/or perform activity, lecture.

Conduct screenings as scheduled by manager

Qualifications:

Associates Degree or Equivalent work experience

4 to 5 years of experience as an Activity Coordinator and/or performing wellness and recreational activities with the senior community

Excellent Communication Skills

Proficient in MS Outlook Office 365

Must be willing to travel within the region up to 50%

Skills:

Strong computer skills Microsoft Word Suite, Excel, Powerpoint

Leadership experience

Experience running programs and trainings for seniors

Experience working in retirement/adult daycare industry

Outgoing with customer service skills

Will be required to do offsite work for marketing team

Travel to site(s) outside of San Antonio market to backfill coordinators on vacation

Help coordinators with activities
