Profile

Briefly describe the position responsibilities: 

Maintain the building according to the standards of the building owners. Participate with company leadership and with the Lift the Spirit team to create a work environment that lifts the spirit of DEMDACO employees and those who visit the building.

Manage the day-to-day operations of the facility including but not limited to:  building repair, building maintenance, HVAC, electrical, plumbing, carpeting, painting, janitorial services, maintenance contracts, mandatory inspections, lawn care, snow removal, building and office supply purchasing, mailroom activities, shipping/receiving company mail pieces and parcels, office furniture, office moves, security system, sound system, grounds maintenance, meeting room set-ups, special projects, and any other building maintenance requirements.

 

Essential Duties and Responsibilities include the following:  (additional duties may be assigned)

  • Gain understanding of the DEMDACO work environment requirements from the business owners (same as building owners), the COO, and other Steering committee members.
  •  Meet with the owner(s) and the COO periodically to:
    • Provide updates on building repair and maintenance items
    • Gain better understanding of the owner’s requirements for the building look and feel.
    • Gain better understanding of the owner’s building and employee safety requirements.
    • Gain a better understanding of DEMDACO work environment requirements
  • Meet with the COO on a weekly basis for staff meeting
  • Manage vendor relationships and on-site vendors related to building maintenance, building repair, building inspections, office furniture, office supplies, office equipment, building supplies, vending, and building events
  • Receive large shipments via truck line or parcel delivery and distribute around the building as required.
  • Assemble office equipment and furniture as required.
  • Operate mail room equipment including mail machines, folder/inserters, and shipping stations as required.
  • Maintain a list of office repair items. Perform repairs as skill level and time permits; contract with a handy-man to complete other repairs on a timely basis.
  • Organize, manage, setup, and/or assist with company events in the building as required. This may include evening and weekend duties from time to time.
  • Supervise the work of support staff that provide facility services; mailroom, shipping/receiving, and purchasing.
  • Plan and manage the Facilities Department budget.
  • Participate on the Lift the Spirit team. Make recommendations for LTS events and projects; help coordinate LTS events and projects.
  • Manage and schedule projects and internal/external resources to complete building related projects on time and within budget.
  • Review and approve Facilities related billings and invoices.
  • Maintain, review, and analyze maintenance contracts. Work with the COO to periodically put maintenance contracts out for bid.
  • Prepare and present budget variances to the COO every month.

Qualifications

The requirements listed below are representative of the knowledge, skill, and/or ability required:

 

Education/Experience:

  • Five years of Facilities Management or related experience
  • Strong leadership, supervisory, and management experience
  • Excellent communication and interpersonal skills
  • Microsoft Word, Excel, and Outlook proficiency
  • Highly organized
  • Strong common sense and acute reliability
  • Ability to work with different levels of personnel within the company
  • Ability to communicate and work well with company vendors
  • Understanding of building maintenance requirements
  • Understanding of building mechanicals and structures
  • Strong problem-solving skills
  • Some experience with reading blueprints

Current Supervisory Responsibilities

This position manages and supervises Facilities Associate (s) and any temporary help that may be needed from time to time.

While performing the duties of this job, the employee is regularly required to sit, stand, walk, stoop, kneel, crouch, climb, and balance.  The employee must frequently lift and move up to 50 pounds, and to occasionally lift and move up to 100 pounds.  Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus.
