Administrative Support Specialist and Office Manager

The candidate will provide support to the firm’s attorneys, paralegals and directors, through the use of a ticketing system, and handling in-person support requests and will provide office administration support for the Los Angeles office. Preparation of initial drafts of correspondence, forms, filings and other documents as requested by and under the supervision of the Firm’s attorneys. Edit and format complex legal documents (motions, complaints, etc.) using Microsoft Word and Nuance PDF editor. Establish and maintain attorney schedules and calendars. Organize and coordinate attorney meetings with various parties (client meetings, hearings, depositions, etc.). Coordinate travel arrangements for attorneys. Prepare attorney expense reports and enter billable time, as needed. Perform typing, photocopying, and filing duties as requested by attorneys and paralegals. Observe confidentiality with regards to all firm business, and exercise discretion and good judgement in all matters. Virtually attend monthly BLBG Admin Support team meetings and training as required. Serve as the primary point of contact with building management and security; facilitate building access for new hires and visitors. Collaborate with building management for facility maintenance and repairs. Answer phones and greet clients and visitors. Coordinate IT support needs with the centralized IT team. Serve as the primary local point of contact with IT consultant, and coordinate IT service appointments. Serve as the primary point of contact with other vendors related to office maintenance. Order office and café supplies and maintain sufficient inventory. Ensure the office, café and conference room remain neat and fully stocked with needed supplies. Facilitate the setup of virtual meetings using the polycom system and other technology. Assist with the onboarding of new hires in collaboration with the Director of HR. Communicate with the Director of HR and the Director of IS with regards to those respective areas and collaborate on projects to ensure alignment with firm strategy. Notary Public license is a plus. Efficiency in document management systems including I-Manage is a plus.
