This temporary Conference Services Coordinator position is responsible for coordinating all aspects of corporate meetings and event logistics which includes but is not limited to catering and audio visual set-up, vendor relations and supply maintenance. Additionally, this incumbent will be responsible for providing exceptional customer services to internal and external business partners. Responsibilities include the following:
Provide the primary support to facilitate a high volume of meeting reservations, room selection, room layout changes and catering needs
Coordinate events of all types from start to finish while keeping the customers and operation in mind, by maximizing space Create Event Orders for all events as required
Work directly with various catering vendors and customer to ensure all catering options/menus are presented to the customer accurately & effectively
Ensure that all appropriate communication for upcoming business is complete and distributed in a timely manner to the operations team
Provide catering setup for all event levels, from simple to multi-day events
Set up Audio Visual to comply with meeting needs and special requests. Assist end users with audio/visual during events. Maintain a/v inventory, contact technicians for repair and replacement, pay and process invoices
Coordinate room and catering equipment needs/replacements/repairs
Order all pantry supplies through contracted vendors
Coordinate vending program; product refills, customer refunds
Complete cross-training for Switchboard/Reception position to be an alternate when work volumes require additional assistance.
Other duties as assigned
Qualifications include the following:
High School Degree required; BA preferred or equivalent conference services experience
2 years Conference Service or similar experience, including catering setup
General knowledge of a/v projectors, touch panels and connectivity options for various output types and wireless connectivity Superior problem-solving/strategizing skills
Ability to work overtime when events require, whether in the morning or the evening
Proactive mindset to anticipate and support changes in event specifics or customer needs
Exceptional customer service abilities, positive attitude and highly motivated
Superior verbal and written communication skills
Superior time management skills; must be able to multi-task and work independently with careful attention to detail
Proficiency in Microsoft applications including MS Word, Excel, PowerPoint and Access; 40 wpm typing speed
Understanding of event software is preferred
