Facilities Coordinator
The candidate will deliver/process mail, performs copy and scan jobs, orders supplies and is responsible for the general upkeep of the office; handle a multitude of tasks simultaneously, is self-directed and has the ability to work in a face-paced environment. Daily operation of office services and ensuring a high quality of client service. Coordinate with lawyers, administrative assistants, and paralegals on large scale of document reproductions. Maintain office supply inventory and interact with various vendors to ensure cost effectiveness. Coordinate with building management and engineering regarding any physical service call matters. Responsible for maintenance of all office equipment including high speed copy machines, printers, postage machines, coffee machines and beverage machines. Sort and scan mail, along with taking care of FedEx and UPS service. Coordinate and provide hospitality support for all on site meetings (i.e., catering and meeting room set up and break down). Develop relationships with vendors; participates in vendor identification and selection process. Reviews facilities vendor contracts in conjunction with Director of Administration. Perform and implement a multitude of Facilities Department tasks as assigned. Index files or boxes of files for Attorneys, Staff, or Accounting Department as needed; i.e., sending to records, preparing for moving to basement storage areas, and identifying where these files will be stored. Assist with furniture moves. Partner with appropriate Director on developing and maintaining emergency evacuation procedures. Prioritize and respond to special requests from the attorneys and legal support staff. Conference room set-up and clean-up as necessary. Stock and clean kitchen and breakrooms. Ensure office space is clean and well kept; set up offices for new hires. Perform other jobs and duties as may be required. High school diploma or equivalent experience is required. Should preferably have 3+ years’ experience in professional office setting.
