Summary:           Fulfills Readerlink’s Collections & Proof of Delivery Management function    

Essential Functions:  The Collections & Proof of Delivery (POD) Manager is responsible for providing leadership and guidance to the Collections & POD Team and maintaining assigned performance metrics. This manager will be accountable for taking an end to end process approach, collaborating with cross functional departments and customers at various levels to solve complex problems and accounts receivable issues. A strong customer mindset is required for success.

  • Advanced familiarity with accounts receivable, proof of deliveries, returns, cash apps and invoicing is required
  • Establish collection, trial balance aging and POD support goals & metrics for the AR team
  • Provide training and guidance to all team members to ensure highest performance levels
  • Ensure a valued partnership exists between the Collection Specialist and POD Specialist on each account, guaranteeing that all expectations are understood when it comes to managing each account’s needs  (e.g. being proactive or reactive when it comes to pulling POD documents in a timely and consistent manner).
  • Handle customers escalations from team members as needed
  • Assume ownership of the quarterly AR Review process with the Sales force
  • Coordinate AR approval pricing while ensuring compliance with company guidelines and maintaining sound business judgment
  • Daily review and analysis of accounts’ status to provide appropriate follow-up with regards to overdue payments – determine correct course of action necessary to collect past due balance
  • Interact with Management, IT, Sales, Finance and Warehouse departments to address issues
  • Develop strong relationships with all stakeholders in regards to collections, proof of delivery and other accounts receivable functions
  • Responsible for credit evaluation and creation of accounts in our system
  • Ownership and oversight related to Collections and POD “help desk” tickets submitted to IT
  • Facilitate and review reconciliation with customers
  • Developing, measuring and tracking performance metrics related to each position
  • Monitoring the open accounts receivable and taking ownership of collections and account resolution
  • Overseeing the front desk relief initiative daily for lunch and breaks (on hold due to COVID-19)
  • Prepare and deliver performance appraisals for team members
  • Provide support to the Director of AR and Managers of Cash Applications and Deductions as needed
  • Prepare weekly/monthly reports for management
  • Identity process improvement opportunities and lead related change implementation
  • Create and update standard operating procedures for the department

Qualifications:

  • Education: Bachelor of Science in Business Administration, Finance or Accounting is required
  • Experience: 10+ years in Accounts Receivable functions, with 5+ years of supervisory experience required
  • Must possess strong organizational skills with an ability to handle large workload efficiently and effectively
  • Must have a professional attitude and ability to work with all levels of the organization
  • Ability to contribute creative and impactful ideas that will shape the department and provide clear direction to all team members – never rest on “this is how it’s always been done”
  • Strong analytical skills and the ability to design and implement new policies and practices
  • Ability to work productively under deadlines
  • Ability to handle multiple tasks in a fast paced environment while working independently and as a team member
  • Ability to multi-task, set project priorities, and demonstrate initiative required
  • Occasional travel may be expected to visit customers and resolve open AR issues

Computer Skills:

  • Strong working knowledge of Microsoft Office
  • Knowledge of Excel at an intermediate or higher level
  • Knowledge of Microsoft D365 is strongly preferred

Language Skills:

  • Must have excellent communication skills, both written and verbal
  • Ability to speak with all levels of the organization
  • Ability to write and compile comprehensive reports and correspondence

Mathematical Skills:

  • Must be proficient in mathematics and able to do basic statistical analysis
  • Ability  to apply concepts such as fractions, percentages, ratios and proportions to practical situations
