Intake Specialist
The candidate will answer phones and screen personal injury and/or worker’s compensation call for potential new clients (PNC). Gather and organize PNC information for case determinations (whether the case will be accepted, rejected, referred, etc.). Follow case determinations and ensure follow-up is made on client representation agreements. Schedule all PNC appointments in case management software. Send PNC appointments out utilizing appointment software. Coordinate sign-ups and locations with investigators for PNC appointments that are held outside of the firm. Ensure investigators are up-to-date with meetings and client information at all times. Communicate proactively with all team members, investigators and clients through the process; ensure missed PNC appointments are contacted with 30 minutes of scheduled meeting time. Occasionally meet with PNC’s that walk-in without an appointment. Prepare documents for all new client appointments that are held in office. Prepare and send documents via e-sign, e-mail/mail, e-fax and upload corresponding documents to client folders in case management software. Follow timing protocols for PNC communications. Prepare all outgoing mail. Handle all incoming mail, faxes and intake e-mail; includes scanning/dragging/dropping documents to corresponding case management mail folder. Meet expectations of GRACES protocol. Perform other related duties as assigned by management. High school diploma or general education degree (GED) is required. Previous legal experience is preferred.
