Profile

Under minimal supervision, the Senior Development Assistant provides the Executive Director, Philanthropic Partnerships with high-level administrative support and project management—including events— while demonstrating independent, mature judgment and discretion in representing them to both internal and external constituents.

Characteristic Duties

Administrative Support

  • Manage Executive Director's calendar, scheduling, travel, and complex itinerary preparation.  Review calendar on a daily basis with Executive Director to ensure proper meeting preparation and schedule flow.
  • File requisite web forms and contact reports in a timely manner.
  • Expense processing, which includes preparation of Institute forms, such as requisitions, travel vouchers, requests for payments, and any other expense-related reports on behalf of Executive Director
  • Track and manage the Executive Director's daily to-do list, ensuring that she is prepared for meetings, that time-sensitive tasks are completed, and that pending documents are reviewed and approved.
  • Coordinate meetings, led by the Executive Director, and prepare agenda and meeting materials at the direction of the Executive Director
  • Create mail merges, proofread/edit materials, and package, process, and mail high-level donor correspondence.

Project management and event oversight/supervision

  • Participate in planning logistics for campus visits and events, and either independently or as part of a team, staff the event that would involve high-level MIT leadership and donors.
  • Assist with all facets of presidential events managed by the Executive Director, including working with Communications on the design of high-quality invitations, event programs, and brochures as needed, as well as RSVP tracking, event database creation and management, and other event processes.
  • Request research, as well as conduct independent research as needed, and prepare presidential briefing materials/packets for appointments, visits, and events.
  • Extract information from donor database, analyze data, and present information in the form of detailed and confidential reports, both customized and standard, on behalf of the Executive Director
  • Other duties as assigned.

 

Qualifications  

Bachelors degree preferred.  At least five years of office or related work experience required.  Previous project coordination strongly desired.  Position is suitable for an individual with high energy and initiative with a required emphasis on the ability to anticipate needs of the Executive Director with minimal direction, who is interested in a career in development.  Requirements are as follows:

  • Superlative attention to detail.
  • Ability to effectively organize oneself and others, ability to "manage up."
  • Demonstrated experience with event processes and management.
  • Demonstrated experience using Microsoft Office (Word, Excel,
    PowerPoint) and Adobe Creative Suite in a professional setting, as well as a familiarity with Filemaker Pro.
  • Strong written and oral communication skills and an impeccable
    command of English, spelling, punctuation, and grammar.
  • Ability to multi-task, prioritize assignments, and meet deadlines,
    without compromising quality, in a demanding, fast-paced, high-
    volume work environment.
  • Ability to work independently and as a team member.
