As HR Administrator, you will be joining our HR Services Team based at Moscow . This is a critical role where you will work as part of a team in offering cross functional HR support to both internal and external customers ensuring of our Service Delivery Objectives across the Region, supporting HR Admin Team within Russia. In this role as HR Representative you will be a part of our HR Admin Centre and work closely with HR Business Partners Russia & CIS, Centres of Excellence, Managers and Employees directly to offer and maintain a high level of customer service throughout each aspect of your role in support of the business and their needs. As HR Representative you will be able to adapt to changing priorities and requirements whilst exercising good judgement based on business need as well as be quick to identify critical information and respond appropriately. You will be committed to self-improvement and development.
Developing our business goes hand in hand with developing our people therefore you will work seamlessly as part of our wider HR Team to ensure a mind-set of continuous improvement is followed, ideally preventing repetitive enquiries and tasks and working to address those where they do. This role will apply expertise to improve processes and support other critical HR processes and initiatives in support of business goals.
With proficiency in RU/ENG language skills we will expect you to assist/support where/when needed HR Admin Centre.
With the support of the HR Central Manager you will be open to new challenges and objectives.
DUTIES & RESPONSIBILITIES:
Prepare & keep all statuary HR documentations required by legislation
Track amendments to Regulation to unsure documentation up-to dated
Preparation of contractual documentation for new hires seeing through end to end. Follows up with candidates relative to pre-hire documentation and follows through per full process through to Hire.
Process all termination paperwork -
Work closely with Payroll, provide all documentations in timely manner
Work closely with Supervisors/Managers to track absence and timekeeping data
Establish and maintain filing system
Ensure all statuary documentations are in place for accurate time keeping (persona/sick leaves, vacations and etc.)
Prepare and submit all Statuary reports in timely manner
Collect Migration documentations
Add/remove employees to corporate health and life & accidents insurance plan
Work as a 1st line contact person between internal customers and external HR Service providers
Ensure all data accurately gathered and provided
Ensure all requests fulfilled in timely manner
Assist with Organization of HR Admin activities in accordance with NOV overall development goals and specific areas of HR policy to achieve effective use and professional development of employees
Keep HCM system up-to-dated with needful records - Action all promotions, transfers, terminations (and any other HCM System related actions) ensuring all authorisation is received prior to processing
Cooperate and assist where required to HR Central Team within Russia & CIS and Region (Europe)
Cooperate and assist where required to HR Centre of Expertise
Assist where/when required with Bilingual Internal Documentations (Corporate Polices)
Replace where/when required another HR Admin Person either physically or remotely
Responsible for FR Processing system
Assist with corporate reports for All RU/CIS
Share and cooperate with Announcements for ALL RU/CIS related to Regional HR Admin
Assist with Service Rewards where needed
Primary responsibility of role is to respond to enquiries regarding HR policy and procedure, the HR Portal and HR self-service forms associated with HR transactions
Gather information and record data in HR tools, monitor transaction status of tickets and escalates transactions, as necessary; to respond to customer enquiries.
Prepares error-free written communication including e-mails and letters and escalates, as necessary, to other parties on many various activities.
Interact directly with managers, candidates and other HR staff/COE’s providing support as needed
Accept and route requests for assistance over the telephone, via e-mail, via live chat, and through web forms
Work directly with customers to resolve recurring or standard problems
Working to the team Goals and Objectives of the supporting SLA’s for all work tasks that come into the shared mailbox striving for first class customer support
Ensure all HR systems are up to date and accurate per processes updating HR Systems where applicable.
Support HR Projects and Initiatives: Participate and assist in various projects, providing oversight and/or coordination of key projects within the HR Services wider team.
Intercompany travel as and when required
Carry out other duties as and when business requirements dictate as may be reasonably expected by line manager
