Real Estate Post Closing Specialist
The candidate will coordinate with external closing attorneys the delivery of loan documents and related closing materials for new loans, loan modifications, assignments and assumptions and similar loan servicing matters. Maintain post-closing checklists for each loan file to track the delivery of required documents. Review documents received from external closing attorneys to ensure that they are complete, have been accurately executed and notarized and have been properly recorded in the proper jurisdictions. Confirm that all original promissory notes and other designated documents have been properly delivered to lenders or appropriate custodians. Prepare and/or process participation certificates relating to closed mortgage loans. Scan documents into an electronic format using established naming conventions. Create, edit and update files in the company’s file-tracking software system. Upload electronic copies of documents into the company’s records database using established naming conventions. Prepare hard-copy files for off-site warehouse storage following internal procedures and utilizing the Iron Mountain tracking system. Utilize records management software to initiate client-requested file searches and retrieve requested files in a timely manner. Manage sensitive and/or confidential documents and information consistent with company policies. Ensure that the correct process is followed when files need to be sent offsite or stored electronically in a manner consistent with company policy. Understand and comply with the company’s records retention policies. Other administrative duties as assigned.
