We are looking for an Executive Briefing Center Coordinator. This person is responsible for general administrative support of the Briefing Program team and visiting customers. The Executive Briefing Center is an integral part of our Marketing and Sales organizations and provides customers with the opportunity to learn more about Pure Storage and its product offerings. We host the leadership of our most valued prospects, customers, and partners to understand their strategic priorities. We collaborate in developing the briefing experience with a focus on meaningful conversations and strengthening relationships. Our Executive Briefings takes place virtually and/or in person in Mountain View and other remote locations. We are looking for an experienced Briefing Specialist who will host a portfolio of Executive Briefings and grow with us as we expand and scale our program.
Duties and Responsibilities
Responsible for all administrative support for Customers/Partners briefings and Briefing team.
Collect all necessary information for each briefing with account team and ensure the briefing
form has been completed in its entirety.
Manage pre-engagement arrangements prior to the start of the briefing, which includes the
cleaning and setup (meeting logistics – agenda, zoom invites, feedback forms, name tents,
badges, A/V setup, pad/pen, etc.)
Provide logistical/concierge support for customers and account teams including dining,
transportation, translation, lodging, entertainment reservation.
Coordinate the ordering of catering for all engagements including the setup/breakdown and
cleanup.
Provide concierge-style service to all customers; meet and greet customers as they arrive at
reception and escort them to the EBC and to their briefing room.
Handle the distribution and collection of briefing feedback forms, including entering feedback
data into the briefing management system and providing results to the account and the speaker
team.
Refresh coffee/drinks in briefing rooms as needed.
Maintain professional environment in Briefing Center.
Update the briefing schedule on a daily basis and share it with lobby receptionist, IT, and
facilities team.
Coordinate with reception desk on signing NDA’s.
Serve as point of contact for security, facilities, A/V, etc.
Assist with any ad hoc customer or account team requests.
Participate in regular meetings briefing team to discuss upcoming engagements.
Maintain inventory of all supplies and customer schwags.
Assist Program Manager on special projects.
WHAT YOU’LL NEED TO BRING TO THIS ROLE...
B.S. in marketing or other related area
Ability to work in a fast-paced environment requiring quick decision-making ability
Excellent communication skills both written and verbal. Must have the skills to be able to influence and collaborate effectively
Multi-tasking, organizational, and time management skills must be strong due to the
variety of tasks to be accomplished, and the fast pace required to deliver successful briefings
Detail oriented to ensure that all aspects of the briefing/program are complete and accurate
SFDC/Events management tool knowledge
Excellent teamwork skills to work effectively with EBC team, account team, speakers, and
executives. Must be able to adapt to a variety of personality styles.
Has a professional presence and confidence in interacting with a variety of people and handling
urgent situations in a calm manner.
Must be comfortable working with technology (collaboration tools, audio conference, video
conference)
