Assists the District Attorney and the Chiefs to the District Attorney in administrative activities; serves as a liaison between the office and other officials, county departments, general public, and employees.
The employee is required to be on duty before, during, and after natural disasters and emergencies, as directed by the supervisor.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Include the following. Other duties may be assigned.
Provides courteous assistance to individuals seeking information, decisions or assistance from the District Attorney or county government both on the telephone and on a walk-in basis.
Screens requests and finds solutions to requests/problems and/or directs to the appropriate employees.
Supervises clerks, secretaries, and support staff.
Schedules and confirms appointments, speaking engagements, participation in various functions and maintains appointment calendar. Makes travel/hotel arrangements for District Attorney. Prepares travel and reimbursement requests. Prepares travel itinerary.
Types correspondence, technical/statistical memos, proclamations, orders, resolutions, notices of meetings, purchase orders, purchase requisitions, various forms and other records.
Makes photocopies of same.
Coordinates office services such as maintenance of filing system, records control, time sheets and payroll information, indexing data, inventory of supplies and purchase of supplies, accounts payable, accounts receivable, witness reimbursement, and intake.
Assists in preparation of budget, preparing employee paperwork, preparing budget paperwork and reconciling P-Cards.
Prepares and maintains records of purchase requisitions and purchase orders.
Processes and transmits information to the members of Commissioners Court, officials, department heads and other organizations.
Addresses complaints received from the public either by telephone or in person.
Faxes letters / memos and other informational material to county officials / department heads, news media and other persons or agencies.
Processes requests and conducts searches related to pending cases
Working relationship with all county officials, elected officials, court staff, law enforcement agencies and general public.
Directs calls and mail to Local Emergency Planning Committee.
Provides assistance/information related to pending cases and disposed cases.
Issues electronic entry card keys and maintains records of assignment.
Provides general research as requested by District Attorney and Chiefs.
Assists in monitoring and preparing grants.
Maintains calendar of activities for the District Attorney and Chiefs
Assists in Emergency Operation Center during storms as needed.
Maintains records for Attorney CLE Compliance.
Updates District Attorney’s biography and furnishes upon request.
Coordinates with media.
Supervises part time / temporary employee. Assign and reviews their work.
EDUCATION AND/OR EXPERIENCE
High school diploma or general education degree (GED), a
nd five years of increasingly responsible secretarial/administrative experience.
Accounting and supervisory experience preferred.
Any equivalent combination of experience and training which provides the required knowledge, skills and abilities, may be considered for current Nueces County employees only.
KNOWLEDGE, SKILLS AND ABILITIES
CERTIFICATES, LICENSES, REGISTRATIONS:
Notary Public preferred.
OTHER SKILLS AND ABILITIES:
Excellent knowledge of business English, spelling, punctuation, arithmetic, office practices, equipment and materials. Knowledge of county operations and policies. Ability to exercise independent judgment regarding the release of sensitive and/or confidential information. Ability to operate a computer using standard wor
processing and spreadsheet software packages. Ability to type at a speed of at least 60 words per minute. Ability to communicate effectively both orally and in writing. Ability to establish and maintain effective working relationships with other county employees, officials and the general public. Ability to adjust to the changing needs of the office.
