The candidate's duties include: Answering phones and managing emails; Typing, compiling, and drafting correspondence, pleadings, and various legal documents including summonses, motions, subpoenas, and trial discovery; Attention to detail a must; Managing diaries and organizing meetings, appointments, depositions, and hearings; File, organize, scan, copy, and fax legal and confidential documents in a timely manner, as well as other general office and clerical duties; Facilitate the meeting of deadlines by keeping managing partner’s agenda and providing timely reminders of important tasks and deadlines on a daily basis; Indexing large document productions and electronic/paper files; Entering timesheets; Other miscellaneous tasks to support managing partner, which may vary according to needs of office. High school degree or equivalent experience required. Strong organizational and communication skills required. Fluency in writing and speaking both English and Spanish required and both skills must be equally strong; will be communicating with clients in both languages over the phone and at in-person meetings required. 2+ years as a paralegal or legal secretary with a background in litigation required. Excellent typing and proofreading skills required. Superior written and oral communication skills; bi-lingual in English and Spanish and the ability to communicate clearly in both languages required. Excellent organizational, time management skills, and detail oriented required. Knowledge of legal terminology and document preparation required. Working knowledge/familiarity with litigation management software systems, including MDEC and CM-ECF (Electronic Court Filing) required. Advanced experience using Microsoft Word, Outlook, and other Microsoft Office programs required. Excellent communication and interpersonal customer service skills required. Dictation transcription ability a plus. The candidate will be successful if they are able to execute a variety of secretarial duties of a confidential nature and possess excellent attention to detail experience.
