Human Resources Project Assistant
The candidate provides administrative support to the Human Resources Department including but not limited to the following: logistics for meetings, processing expense reports and department invoices, department filing, distribution of department mail. Coordinates the professional staff departure process. Responds to information requests regarding unemployment claims. Performs scanning of professional staff personnel files for departed professional staff and ensures timely and accurate purging and archiving of personnel files in compliance with the Human Resources record retention schedule. Coordinates the employee referral bonus program and processes required forms. Creates and maintains professional staff personnel files and ensures timely and accurate filing. Monitors the completion of all mandatory computer-based training modules, follows up as necessary to ensure compliance. Responds to requests for professional staff employment verifications. Provides logistical support for professional development programs and well-being programs. Monitors professional staff absence management process in HRIS. Assists with troubleshooting and resolving staff timecard issues. Coordinates tuition reimbursement program for professional staff. Tracks the completion of the annual and mid-year performance evaluation process. Maintains the Human Resources Department calendar of events and Human Resources Department Outlook calendar. Coordinates Human Resources Department meetings. Coordinates professional staff anniversary announcements. Coordinates the Washington Office sports teams. Coordinates the commuter benefits program for the Washington, DC Office according to department procedures. Collaborates with the Human Resources Team in the coordination of various Human Resources Department-sponsored events. Provides project support to the Human Resources professionals, assists with other department functions, and performs other duties as assigned. A High school diploma or equivalent. Should have 3 years of administrative or secretarial experience. Knowledge of relevant firm computer software programs (e.g., Outlook, Word, Excel) with the ability to learn new software (e.g. Publisher) and operating systems. Familiarity with or ability to learn human resources terminology and procedures. Ability to interpret and follow instructions. Ability to develop routine correspondence. Flexibility to adjust hours and work the hours necessary to meet operating and business needs.
