Senior Special Assistant To The First Deputy Chancellor
The candidate plays a key role within the Department of Education (DOE), working closely with the First Deputy Chancellor and senior staff to support the First Deputy Chancellor’s agenda. May handle sensitive issues and confidential information requiring discretion. Manages the operations of the First Deputy Chancellor’s office, including briefing the First Deputy Chancellor for internal and external events, and executing priority projects on the First Deputy Chancellor’s behalf. Works closely with the First Deputy Chancellor’s Senior Leadership team to problem-solve, facilitate policy objectives, and ensure that key policy questions are brought to resolution at relevant meetings. In addition to supporting the Executive Assistant, supports the Chief of Staff in executing critical cross-functional projects that advance the First Deputy Chancellor’s agenda. Performs related work. Reports to: First Deputy Chancellor/Chief of Staff to the First Deputy Chancellor. Attends meetings and travels with the First Deputy Chancellor as assigned; ensures timely follow-up and dissemination of important information through communications. Manages the finalization of all written material that comes from the First Deputy Chancellor’s Office, including talking points, emails, remarks, and draft communications; escalates issues or high-priority items to the Chief of Staff and First Deputy Chancellor as needed. Facilitates communications for the First Deputy Chancellor, e.g., notifications to staff about key policy announcements and strategy documents. Closely collaborates with the Executive Assistant in the coordination of the First Deputy Chancellor’s schedule and strategic planning. Follows up on various requests for the First Deputy Chancellor, including planning small events, writing correspondence, and addressing parent and community concerns. as final quality control; checks content for all external communications done on behalf of the First Deputy Chancellor. Finalizes the First Deputy Chancellor Memo in Principals’ Weekly, a weekly publication to principals citywide, and works to align all messaging to the Chancellor’s priorities, the Office of the First Deputy Chancellor brand and guiding principles. Works with senior staff to identify the First Deputy Chancellor’s key short- and long-term priorities and enable the First Deputy Chancellor to execute these priorities. In partnership with the Chief of Staff and Executive Assistant, prepares the First Deputy Chancellor for all internal and external meetings and events, including preparing briefings for daily meetings and planning for upcoming large events. Works with functional areas throughout the DOE to obtain all necessary background information. Supports the First Deputy Chancellor at meetings and follows up on next steps and deliverables. Manages events and meeting logistics by coordinating with the Executive Assistant. Ensures that all appointments and events are aligned to the First Deputy Chancellor’s priorities and enable the First Deputy Chancellor to function effectively. Support for Chief of Staff to First Deputy Chancellor. In partnership with the Chief of Staff, works with representatives of the First Deputy Chancellor’s Senior Leadership Team to ensure that key policy questions are brought to resolution. Develops meeting agendas; tracks decision points and follow-up items through to completion. Supports the Chief of Staff in overseeing and liaising with partner offices. Strategizes with the Chief of Staff to cultivate and manage the First Deputy Chancellor’s relationships with key stakeholders, including schools, parents, community groups, principals, and teachers, as well as with external organizations, in order to build broad support for the First Deputy Chancellor’s agenda and advance the First Deputy Chancellor’s strategic priorities. Executes critical cross-functional projects that advance the First Deputy Chancellor’s agenda., including developing strategic recommendations, creating and managing work plans, conducting research and analysis, and helping to define and track success metrics.
