Senior Contract Administrator
Duties: Mentors Contract Administrators and Assistant Contract Administrators to ensure work is completed efficiently and stakeholder service is exceptional. Creates and updates instructional materials and trains stakeholders on how to use Contract Administration software, forms, policies, and procedures. Manage the department mailbox and triage questions and distribute workload across the team Handles inquiries about contracts and the contracting process in a timely fashion. Follows internal policies, standard operating procedures, and state and federal regulatory requirements related to contract management and compliance with applicable law. Receives requests for new contracts and amendments and solicits approvals from internal leaders. Consults with internal leaders and other employees to populate approved contract templates. Negotiates contract language with vendors to meet the organization’s business and legal needs. Coordinates the legal review and approval of contracts prior to signature by a Stanford entity leader. Coordinates contract signatures. Actively manages hundreds of contracts to ensure contract expiration notices are received and acted upon by stakeholders 90 days prior to contract expiration. Organizes and documents work electronically through the use of a contract log, electronic filing system, and electronic contract management database. Assists with updating and maintaining the electronic contract management database. Creates and interprets contract reports in Microsoft Excel using the electronic contract management database. Proactively seeks innovative ways to streamline operations and follows through on implementing new processes.
