Administrative Coordinator, Legal Assistant Services
The candidate assists with scheduling and calendar management support for LA and LT Management teams for large training programs, events and department-wide meetings. Assists LA management team with preparing and tracking training initiatives for new hires and continuing education programs in all offices worldwide. Coordinates with Conference Services for meeting and training requests, including but not limited to audio-visual and catering services. Assists with document management and records retention for administrative files. Tracks legal assistant assignments, certifications and special skills and coordinates with LA management team to maintain up-to-date lists. Maintains and updates LA team resources on SharePoint and intranet site. Tracks and assists with processing of vendor invoices for LT vendors, including coordinates with vendors directly regarding monthly invoices. Provides support to Human Resources and technical teams to assist with the set-up for external user access to network systems. Conducts regular audits of external user access and provides support to internal and external teams to troubleshoot issues. Updates and maintains vendor engagement agreement database. Enters time allocations for legal assistants on secondment. Develops project strategies to ensure efficient completion of tasks. Consults with the Firm's support departments and internal staff at all levels. Coordinates with other Firm offices both domestically and internationally as required. Assists with Department initiatives and special projects. Assures that all completed projects adhere to accepted professional standards. Synthesizes information so as to prioritize and organize tasks. Organizes and facilitates conference and video calls. Manages Firm resources responsibly. Performs assignments that are varied and complex in nature, often while under time critical deadlines. Complies with and understands Firm operations, policies and procedures. Performs other related duties, as assigned. Bachelor's Degree is required. Should have 1+ years of related experience.
