Legal Coordinator
Duties: Provide administrative support and communication triage support to Staff Attorney. Provide administrative support and call coverage to Lobbyist. Provide contract administrative support to Contract Manager. Provide education and support to staff regarding contract documentation, service of legal documents and minor related legal issues. Triage phone requests for Staff Attorney to interpret state or federal laws and regulations regarding patient rights, including consents, advance directives and confidentiality of medical records. Provide education to staff on Subpoena interpretation for court testimony, pre-trial interviews and civil depositions. Serve as a resource for staff inquiries related to external medical records requests as it relates to HIPAA. Prepare and send monthly invoices to clients for Lobbyist. Maintain and update billing log. Compile on-line contract requests submitted by the Enterprise Staff. Assure all requests contain preliminary review and commentary from other appropriate departments. In some cases conduct a preliminary review of certain software agreements before reviewed by Legal staff, providing review comments for consideration. Train and instruct Enterprise staff on usage of the on-line Contract Request Process and the Contract Database Library System. Coordinate contract documents through appropriate signature authority and to the vendor for execution. Data entry and file management of all contracts into the Contract Database Library System. Oversee the operations of Contract Database Library System including trouble shooting problems reported by staff, loading/updating contracted document in the system as needed. Develop efficient systems for tracking performance measures for key metrics related to areas of responsibility. Examples include tracking completed contract review requests in report format. Ensure that complete contract documentation is maintained in electronic and hard copy form. Schedule and participate in Regional Facilities Contract Request Update Meetings. Take meeting minutes, update regional facilities contract request logs. Create logs, indexes, files, for vendors and maintain and monitor records regarding contract renewals and issues. Serve as resource for distribution and communication of all executed contracts to key staff. Develop and maintain positive and external customer relationships by coordinating with other departments or function areas to resolve customer problems when necessary. Ensure quality, integrity and timeliness of the departmental reports. Continuously identify methods for automating office processes and improving department efficiency. Provide administrative support as needed to General Counsel and Legal Team.
