Office Coordinator
The candidate facilities maintenance, upkeep and support as well as providing administrative support to attorneys in the Intellectual Property practice area. May vary and fluctuate based upon the specific needs of the office and main line phone coverages, greetings visitors in a courteous and professional manner, maintains the schedule for conference center/rooms, coordinates with caterers to manage food orders and managing mail and package deliveries. Works closely and collaborates with administrative departments and staff. Oversights of day-to-day operations and facilities maintenance including office equipment. Coordinates office moves; organize and set up offices/pods for incoming personnel. Manages supply inventory and place orders. Performs general secretarial duties, such as drafting and editing documents, proofreading, submitting expense reimbursements, time entry, etc.. Utilizes the most efficient business processes, electronic workflows, technology, available resources (Business Center, Office Services, IT, and practice-specific software/technology) to fulfill the position requirements, deliver timely results, and maximize efficiency. Associate’s degree in business or a professional studies degree is preferred. Experience with timekeeping, billing, and contact management software is preferred. Experience with Intellectual Property practice, including trademark, patent and patent prosecution is required.
