The candidate will provide world-class service to visitors and callers. Greet visitors and escort them to conference rooms. Maintain a clean, presentable lobby, reception desk, conference rooms, visitor areas. Professionally answer the phone and route calls. Notify staff of visitors. Take detailed, accurate messages. Maintain the daily calendar. Receive, sort, and distribute daily mail/deliveries. Scan documents and mail. Use our case management software for data entry, calendaring, and messaging. Inventory office supplies and submits orders. Mass mailings to clients and vendors. Prepare correspondence and perform general administrative. Minimum 1 year of administrative/receptionist experience in a legal, medical, or other professional services environment is required. Should have experience with multi-line phone systems. Exceptional phone etiquette. Professional verbal and written communication skills. Welcoming, customer-focused demeanor. Ability to interact with diverse people in a positive and engaging manner. Proven ability to effectively perform and multi-task in a fast-paced environment is needed. Should give strong attention to detail. Ability to be a team player and work independently is required. Knowledge of legal terminology is a plus. Should be organized, reliable work ethic. Professional, confident, and enthusiastic “can do” behavior. Proficient typing skills to navigate various software programs, phone systems, the internet, MS Office Suite, Outlook, and Adobe are essential.
