Administrator, Practice Management Operations

Duties: The candidate will oversee the daily functions of the Chief Practice Management Office (CPMO) and Sr. Directors within the Practice Management Department. Coordinate and assist with managing enterprise projects driven, or requiring involvement from, Practice Management Directors and members. Assist with scheduling teambuilding events, partner meetings, project meetings, and committee meetings, which may include outside vendors. Provide confidential administrative support to the CPMO and the Practice Management Leadership team as needs arise. Maintain and manage other Practice Management (PM) related administrative tasks. Prepare CPMO for meetings, to include agenda development, and ensure all relevant documents/materials are prepared and/or provided. Ensure conference room and/or virtual meeting platform is set up accordingly, including applicable audio-visual needs. Efficiently manage the CPMO’s calendar, expense reports, and complex, often changing, meeting schedule. Plan and execute intricate travel arrangements. Assist PM Sr. Directors with meeting scheduling, travel arrangements, expense reports, and meeting prep. Serve as a liaison between the PM leadership team, attorneys, and professional staff. Support and coordinate general requests for assistance and information from across the firm (such as finding/providing documents and answers to questions, as well as facilitating good relations between management, attorneys, and staff). Create and manage a complex document management system (i.e., DMS, OneNote, OneDrive, Smartsheet & MS Teams). Implement strong routine follow-up and use independent judgment to interrupt meetings or calls as necessary to keep CPMO and critical firm processes on track. Responsible for drafting meeting minutes and meeting action items, as well as analyzing reports, memos, or documents to distill data from multiple sources into one comprehensive report or memo. Coordinate and assist with project management, administrative, and enterprise projects as requested, keeping key stakeholders apprised of current project status. Notify key stakeholders and management team as required of upcoming key dates and distribute relevant materials. Edit, proofread, and redline documents to ensure accuracy of copy, grammar, punctuation, and syntax. Create, prepare, and/or update sophisticated and visually stimulating PowerPoint presentations. Create and analyze Excel spreadsheets, pulling data from spreadsheets for reports or presentations as needed. Oversee the department’s annual budgeting process and work with each Director within the PM leadership team to create the entire departmental budget with the Budgeting team. Oversee and audit the department’s industry organization membership lists. Assist with conference and other professional development event registration for Department members. Keep apprised and circulate professional development opportunities to relevant PM members. Monitor departmental and committee budgets. Research, resolve, and reclass misappropriated expenses and inform appropriate personnel of the status of budget accounts. Update the Firm Manual and track historical changes. Foster PM department morale by acknowledging life events; digital b-day cards/PM Department Quarterly Meeting shout-outs.
