IP Practice Assistant

The candidate will be preparing, filing and prosecution of U.S. and foreign patents, U.S. and foreign trademarks and copyright applications including electronic filing with the USPTO. Handling administrative aspects of U.S. patent prosecution. Assisting with preparing responses to office actions. Assisting with patent searches. Maintaining patent application files. Drafting patent documents and correspondence. Processing and docketing for filing. Managing calendar deadlines. Drafting, finalizing and filing pleadings in various federal and state courts. Preparing notebooks, subpoenas, orders, exhibits and other materials related to litigation filings. Managing emails, calendar appointments, and client contact lists. Scheduling meetings and coordinating all logistics. Using internal library resources for external research as directed by timekeepers. Managing physical and electronic files, including intake, retention, retrieval, and transfer of records. Importing electronic documents, including scanning documents into the document management system. Opening files and conducting conflict checks. Coordinating and preparing monthly client bills. Preparing check requests and expense reports. Coordinating, verifying, and obtaining appropriate approvals for all domestic and international travel arrangements with the firm’s travel provider. Assisting other practice assistants with overflow work and providing backup support to staff as needed. High School diploma or its equivalent required or Certificate or Degree from a Business School is preferred. Should have 3-5 years of patent filing, prosecution and trademark experience. Experience with domestic and foreign IP documents is required. Significant experience in a similar role within a medium to large law or professional services firm working for senior lawyers and partners is required.
