The candidate will supervise, coordinate, monitor and manage all office personnel. Design, implement, regulate and revise secretarial and paralegal task assignment system and workflow to ensure maximum productivity and accurate, quality work product in accordance with established production standards. Review staff work product to assess ongoing training needs. Prepare and administer performance evaluations for secretaries. Assist managing attorney and/or team leader in preparation of paralegal performance evaluations. Prepare and maintain all administrative records for direct reports, including performance /salary reviews, and attendance. Maintain supporting documentation for performance issues of direct reports as well as development/succession planning. Review workflow to address or create policy and/or procedural changes necessitated by changes in the law or evolving technology in order to improve efficiency. Ensure office compliance with Court filing rules and court mandated deadlines. Supervise and maintain all integral office systems. Serve as IT liaison, legal database champion, and accounts payable liaison to multiple departments. Ensure staff proficiency in utilizing office systems, including MS Office, Legal Matter Management Systems, web-based Court programs and vendor computer programs. Creation of and maintenance of office procedure handbook and Legal Matter Management training handbook. Ensure that files are opened, purged, retrieved, organized and closed in accordance with company policy. Plan and coordinate employee appreciation days, blood drives, Vibes events, teambuilding seminars and claims/legal meetings. Plan and organize, via cooperation with Claims Managers and Adjusters, Court settlement days and Bulk settlement days, both litigated and non-litigated matters. Participate in hiring of all new staff members. Evaluate secretarial, paralegal and attorney applicants. Conduct secretarial and paralegal interviews and participate in attorney interviews. Train, orient, mentor and direct newly hired secretaries, paralegals and attorneys regarding office procedure, HR, systems and work assignments. Oversee the overall operation of a busy staff counsel office to ensure the daily operation run smoothly. Act as H.R. liaison between staff counsel office and Corporate H.R to address work, disability or performance issues. Review, manage and confirm bank time for all office personnel. Develop policies, guidelines and procedures that are necessary for business needs of the law office in conjunction with designated management and implement same with office personnel. Create, foster and maintain a professional, safe and amicable work environment. Create and maintain office forms. Continuous tracking of Federal and State Court Rules to ensure that mandated forms are kept up to date and Court deadlines are current in legal management software applications. Participate in preparation and completion of annual budget. Manage office budget through review and reconciliation of monthly accounting invoices and Cost Center reports. Updates, maintains and tests the Business Continuity Plan for the office. Assist in evaluation of office needs and space and provides recommendations. Evaluate and ensure office personnel are compliant with cost saving objectives. Prepare, correlate, review and analyze several claims and staff counsel reports including but not limited to Utilization Reports, Customer Surveys, Monthly File Status Reports, Quarterly File Accounting Reports, File Suit Referral Reports, CCU Reports, E&S Tracking Reports, Appearance Logs, Paralegal Summary Log, Subrogation Results Report and Case Value Reports. Monitor and maintain the Staff Counsel centralized trial log. Preparation of office productivity and management reports, including, attorney/claims reporting compliance, discovery compliance, attorney scorecards, paralegal work log records and secretarial backlog reports. Review and reconciliation of the Collateral Accounting Statements received from the Administrative Office of the Courts. Manage, order and maintain office equipment, furniture and fixtures. Arrange for, monitor and coordinate office-related services including security, janitorial, maintenance and other services. Ensure office equipment such as copiers, scanners, telephone systems and faxes are operational. Troubleshoot IT and equipment issues.
