Procurement Contracts Administrator
The candidate will be responsible for drafting, reviewing and negotiating contracts and facilitating the contract process in accordance with University policy, ensuring stewardship of University financial assets. Will serve as centralized point person for contract requests from internal departments. Oversee the administration of the University’s contract process by in-taking requests. Utilize the University’s contract workflow in iContracts. Liaise and interact with the University’s Office of General Counsel, Office of Information Technology Solutions and Information Security. Ensure contract terms provide appropriate risk mitigation and protection of University assets by providing advanced business term and basic legal term negotiations, with decision-making skills about when to involve General Counsel. Facilitate and lead negotiations with suppliers. Communicate status and updates to Departments. Uphold the University’s policies and procedures related to contracts. Summarize risks and exposures to authorized signors so they can make risk-informed decisions. Work with the Procurement and Strategic Sourcing operations team to verify bidding requirements and new supplier due diligence. Responsible for the overall supplier relationship and performance management of key contracts. Identify and resolve issues that promote community compliance with University wide contracts. Measure supplier performance through periodic reviews, product performance, customer satisfaction surveys, discrepancies, damage claims and contract compliance. Assist with supplier disputes, contract breach claims and contract terminations. Administer the contracts database solution including maintaining application security, setup and workflow, creating and training users, running reports, monitoring KPIs, and maintaining data standards. Creates and delivers individualized and group training on the University’s contract management system and contracts process to Department users. Serves as a resource regarding the University’s contracting process for the University community. Develop strong working relationships with various internal stakeholders to service both day-to-day and project related needs. Contribute to continuous process improvement and innovation to enhance relationships between the Procurement and Strategic Sourcing team, the University community and suppliers. Independent and self-directed in day-to-day function, but secures support from Procurement and Strategic Sourcing leadership team before taking critical action. Executes basic Strategic Sourcing initiatives including administering Request for Proposals and sourcing initiatives as needed. Must have Bachelor’s Degree, preferably in business related discipline or equivalent of experience in lieu of degree acceptable. Should have 3-5 years of related experience. Paralegal, MBA or advanced business degree preferred.
