Marketing Services Assistant
The candidate supports all efforts relating to the Firm’s marketing initiatives in the assigned office/region. Assists Marketing Services Team with firm hosted event planning as assigned, on and off-site client and prospect seminars, webinars, receptions/dinner/socials, community engagement affairs, and other events as assigned. Assists with research for venue and catering options. Assists with the development of appropriate mailing/invitation lists and seek related approvals. Assists with maintenance of Client Relationship Manager (CRM) event data and report exports. Assists with event invitation development in collaboration with the design and communications team; proofs invitations and provides registration testing. Maintains intranet calendar updates. Assists with distribution of CLE certificates as needed. Assists with preparation of event guest name tag and print and/or electronic material. Assists with distribution of CLE certificates as needed. Assists with processing invoices for payment. Assists with vendor relationships, as needed. Assists Marketing Service Team with organization, tracking, utilization and distribution of sports and event tickets for client entertainment purposes. Assists Marketing Services Team to execute benefits, tracking and payments related to community engagement/sponsorships. Coordinates scheduling of firm website photography sessions for new legal personnel. Maintains inventory of silver name badges for office(s). Sorts and delivers marketing team shipments. Supports special projects as requested by Senior Marketing Services Manager. High school diploma is required, post-secondary education related to Marketing is a plus. Should have 1-2 years of progressively responsible related work experience, preferably including event planning and coordination in a professional services industry. Experience in utilizing marketing databases, and a familiarity with marketing related computer tools is required.
