Legal Secretary
Responsibilities: Delivers excellent work and superior service to the Firm’s clients; contributes to the Firm’s reputation for excellence by providing highly efficient and effective secretarial and administrative support to a legal team consisting of five or more attorneys. Communicates with attorneys and assists in balancing the team’s workload to ensure completion of projects within established time frames and quality standards; seeks guidance from the Human Resources Manager as necessary. Administrative support includes conflicts checks, opening new matters through NBI, maintaining multiple attorney calendars, coordinating travel arrangements, entering attorney time (InTapp), preparing expense reports, organizing, and coordinating meetings and conferences. Preparing closing binders for transactions and assisting with post-closing matters. Research and recording real property documents with various county clerks. Prepares and processes legal documents including, but not limited to subpoenas, complaints, motions and other legal documents and pleadings under the supervision and direction of the attorneys. Manages attorneys’ calendars. Assists with opening and closing of client matters. Organizes and maintains client files and form files. Assists with billing/edits; enters attorney time into time entry system as requested. Enters expenses into the expense system and requests checks for various vendors. Provides dependable, flexible support.
