The Accounts Payable Transactional Supervisor is primarily responsible for supporting the PTP ESC Team and field Operations. This role will work closely with the AP& ESC staff to streamline processes and improve policies and procedures. Collaborating and Maintaining internal/external relationships and ensuring high level of customer satisfaction in regard to AP Transactional Processing
Assist PTP leadership by leading department projects
Review Daily Open AP for all Industry groups and ensure all wrong invoice entries are rectified in a timely manner
Document and train AP team on new processes
Assist PTP leadership to identify areas of improvement
Manage all new vendor set-up requests and supplier onboarding
Ensure all AP Processors have accurate coding and approvals to process invoices in a timely manner
Subject Matter expert in the Full cycle AP Processing for All industry groups within ABM/GCA
Work with the tax department on any exemption certificates and ensure invoices are processed with the right tax rates
Maintain weekly meetings with AP Processors and ensure Service Level Agreements are being met in a timely manner and escalating any lag to the PTP Manager
Oversight of processing union dues, garnishments, levies and all vendor invoices
Monitor AP inboxes (physical and electronic) daily
Ability to multitask and have oversight of minimum of 500 invoices per day
Respond to all vendor and field inquiries timely
Process invoices into ABM PTP systems (JDE, Oracle Fusion)
Ensure appropriate manager’s approval is obtained for all non-Purchase order invoices
Follow up on invoices pending approval from operations
Oversight of the Buy smart and Coupa AP Process
Leading Transaction processing testing on PTP Technology projects
Monthly reviews of any outstanding invoices with Industry group accounting Staff
Reconcile vendor statements for assigned Industry Groups and work with vendors on missing invoices
Ensure Outstanding customer service is provided by all staff
Work Collaboratively as a member of the Procure to Pay management team with Suppliers, Procurement and the different Industry Groups
Reconcile payments made in-house and/or with 3rd party vendor
Assist with payable aging reports and reconcile to GL control account
Support timely month end close AP related activities
Assist with preparation of 1099s, escheatment, audit schedules
Document and update all processes related to AP transactional tasks
Projects and other duties as assigned
7 years’ experience in Accounts Payable within a Shared services environment
Experience with ERP systems (JDE,SAP,Oracle Fusion)
Experience with invoice and payment automation
Experience processing 1099’s and escheatment
Experience in Microsoft Office (Excel, Word, Outlook)
Able to meet project deadlines in a timely manner
Exceptional technical, organization, written and verbal communication skills
Capable of analyzing accounting information while maintaining a strong attention to detail
Ability to effectively prioritize and execute tasks in a high-pressure environment
