Profile

Global Support Services is seeking an Administrative Assstant in Washington DC. The Administrative Assistant provides high-level administrative support by providing information management support and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. In addition, the Adminstrative Assistant performs a wide range of administrative and project activities associated with maintaining the day-to-day function of the Help Desk and its employees. The Administrative Assistant reports to the Program Manager on a government contract in Washington DC.
The Administrative Assistant will maintain the Program Managers calendar by planning and scheduling meetings, conferences, teleconferences and travel. In addition, the Executive Assistant will manage the conference room and Conference line schedules for all Help Desk Employees and work with respective companies to ensure contract requirements are met in reference to employee numbers and HR functions.
ESSENTIAL DUTIES & RESPONSIBILITIES
Managing the day-to-day operations of the Office
Maintains customer confidence and protects operations by keeping information confidential
Organizing and maintaining files and records
Provides historical reference by developing and utilizing filing and retrieval systems, recording meeting discussions
Maintaining and requesting Security Clearances for New Employees
Managing projects and conducting research, as needed
Preparing and editing correspondence, reports and presentations
Providing quality customer service
Assist with employee onboarding and recruiting by managing the process lifecycle. This will include scheduling interviews and tracking hiring/firing process by stage and maintain a current status report.
Set up monthly lunches. This will include coordinating food orders and delivery, as well as post-event clean up.
Set up regular all hands meetings and ensure video teleconference is up and running.
Track all employee’s paid time off and attendance.
Ensure timesheets and expense reports are submitted to the appropriate company in a timely manner.
Point of contact for time-off request approval and tracking.

Job Requirements :
Required (Mandatory Qualifications):
Applicant must currently have/be able to obtain a Public Trust Security Clearance
3-5 years of experience as an Executive Assistant/Administrative Assistant
Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Access, Visio and Project)
Excellent calendar management skills.
Expert MS Office skills including Word, Excel and PowerPoint and Outlook.
Experience scheduling travel arrangements for management.
Required Knowledge, Skills and Abilities:
Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar
Excellent oral and written communication skills
Excellent face to face and phone etiquette
Ability to work in a fast-paced, dynamic environment
Excellent time management, scheduling, and organizational skills
Ability to work well in a team setting
Excellent attention to detail.
Must have superior customer service skills and the ability to effectively communicate with employees and outside vendors.
Ability to organize tasks to ensure that deadlines are met.
Ability to work effectively with a diverse population of employees including all levels of executive, management and staff.

Job is performed in a modern office setting with exposure to computer screens and requires extensive use of a computer, keyboard, mouse and multi-line telephone system.
